Guest Services Coordinator
POSITION SUMMARY
The Guest Services Coordinator is the first point of contact for Admissions visitors and for inbound College telephone callers. The position will staff the Welcome Center and answer the main telephone line and direct callers appropriately. The Guest Services Coordinator performs a wide range of complex duties, including administrative tasks for the Admissions Office daily visits and events and is responsible for greeting all visitors to the Admissions Office. The position requires the ability to work independently with limited supervision and as part of a team. The Guest Services Coordinator must have strong written and verbal communication, administrative, and organization skills along with the ability to handle confidential information with discretion, be adaptable to various demands, and demonstrate the highest level of customer service and response.
Supervision Received/Exercised: This position reports to the Associate Director for Campus Events and has no supervisory responsibilities.
ESSENTIAL FUNCTIONS
- Provide front-line student service for all Alma College campus visitors. Present a friendly, and helpful first impression of the campus
- Manage incoming calls to the Admissions Office and the Alma College main line. Route calls to the appropriate person/department within our campus community when unable to personally answer
- Direct inquiries to appropriate campus resources
- Help create inclusive and welcoming programming and materials for daily visits and events
- Prepare materials for guests
- Ensure that each visitor successfully checks in to appointments and is individually guided along their visit to ensure an excellent visit experience
- Distribute incoming mail to appropriate staff within our office
- Provide routine correspondence with building staff
- Coordinate with the facilities team to ensure the Admissions Office remains clean and welcoming daily, and work with campus security team to ensure the building's availability is correct each week and over breaks
- Provide training to Welcome Center student employees, in collaboration with the Visit coordinator and the Associate Director of Campus Engagement and Events
- Participate in student employee training and development initiatives
- Maintain a working manual of Welcome Center responsibilities
- Manage the correspondence of incoming requests/information (individual walk-ins, email, phone, letters)
- Oversee the inventory and ordering of office supplies
- Other duties as assigned
REQUIRED QUALIFICATIONS
- Associate's degree or one year of related experience
- Experience with Windows, Microsoft Office (Outlook, Word, Excel, and PowerPoint)
- Ability to multi-task and meet deadlines
- Excellent written and verbal communication
- Ability to work with confidential information
- Ability to work weekends and evenings as needed
- Excellent organizational skills
PREFERRED QUALIFICATIONS
- Two years of related experience with office administration and customer service skills
- Knowledge of the Ellucian Colleague database and Slate CRM
- Experience working with underrepresented, first-generation, Pell-eligible, and diverse populations
