Position Highlights

The University of Arizona - Arizona Area Health Education Centers (AzAHEC) is hiring an AHEC GME & Primary Care Pathways Coordinator (1.0 FTE). This position is evenly split (50/50) between:

  • Graduate Medical Education (GME) / Sponsoring Institution (SI) coordination.
  • Primary Care Pathways Programs and Research coordination, including support of statewide residency learning collaboratives and innovation initiatives.

The Coordinator supports the development, implementation, and sustainability of graduate medical education and primary care workforce initiatives across Arizona, with a particular emphasis on rural and underserved communities. This role provides administrative, operational, and coordination support to AzAHEC leadership, GME leadership, faculty, and community partners.

Duties & Responsibilities

Program, Sponsoring Institution & Accreditation Support:

  • Assist with the preparation, organization, and maintenance of ACGME Sponsoring Institution (SI) application materials, documentation, and accreditation records, including policies, procedures, approval letters, and correspondence, following established processes and guidelines.
  • Support preparation for ACGME site visits (virtual and in-person) by compiling documents, drafting agendas, and coordinating logistics under the direction of SI leadership.
  • Maintain tracking logs for accreditation deadlines, reporting requirements, and follow-up actions, and attend program meetings with faculty leaders and partners as assigned.

Program & Site Coordination:

  • Support program coordinators, program directors, and participating sites by providing information and assistance regarding SI-level processes under the direction of program leadership.
  • Assist with the onboarding of new residency programs and participating sites into the Sponsoring Institution structure by preparing standard materials and checklists.
  • Help facilitate consistent communication and information flow across programs within the GME consortium by distributing documents and tracking follow-up items as assigned.

Events & Learning Collaborative Coordination:

  • Assist with the planning, scheduling, and logistics of meetings, trainings, and events, including up to three statewide primary care learning collaborative events per year, by preparing agendas, materials, and communications under the direction of program leadership.
  • Support Graduate Medical Education Committee (GMEC) meeting operations by coordinating scheduling, compiling agenda materials, recording and distributing minutes, and maintaining membership lists, charters, bylaws, and voting records in accordance with established procedures.
  • Track action items and follow-up tasks from GMEC meetings as directed by SI leadership.

Data, Tracking, and Documentation:

  • Maintain tracking tools for program status, accreditation milestones, policies, and institutional requirements, ensuring records are current and accurate.
  • Assist with data collection and reporting for accreditation purposes, internal leadership, and funders by compiling information from established sources following standard templates and guidelines.
  • Support the maintenance of shared folders, resource libraries, templates, and website content in coordination with program leadership to ensure materials are organized and accessible.

Administrative Support:

  • Assist with the preparation and dissemination of promotional materials and stakeholder communications under the direction of program leadership.
  • Draft and distribute routine communications and standard program documents on behalf of SI and Primary Care Pathways Programs leadership as requested, following established formats and guidelines.
  • Schedule and coordinate meetings, trainings, and site-visit preparation sessions, and provide general administrative support for SI-level GME and Primary Care Pathways Programs' operations.

Knowledge, Skills, and Abilities:

  • Excellent written and verbal communication skills.
  • Strong project management skills - ability to manage multiple tasks and prioritize deadlines.
  • Professional demeanor and ability to work effectively with staff, faculty, and leadership.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and willingness to learn new software tools.
  • Ability to handle sensitive information with professionalism and discretion.

Minimum Qualifications

  • Bachelor's degree or equivalent advanced learning attained through experience required.
  • Up to 1 year of relevant experience required.

Preferred Qualifications

  • Associate's degree preferred.
  • Experience with graduate medical education, residency programs, or academic medical environments.
  • Familiarity with ACGME accreditation, institutional governance, or compliance processes.
  • Experience with community engagement, primary care workforce development, or Pathways Programs.
  • Experience supporting research, evaluation, or scholarly activities.
  • Knowledge of Arizona geography and underserved communities.
  • Experience with email marketing or communications platforms (e.g., Mailchimp).
  • Access to a vehicle for reimbursed travel, as some in-state travel may be required.
  • Availability for occasional evening or weekend events.
