Human Resources Coordinator
The HR Coordinator provides high-quality administrative and coordination support to the Human Resources Department, with a primary focus on recruiting, onboarding, and front-line HR operations. This role supports Talent Acquisition Partners, HR leadership, hiring managers, and candidates by coordinating interview logistics, managing recruitment and onboarding workflows, maintaining accurate records, and serving as a central point of contact for the HR office. The HR Coordinator ensures a positive and inclusive candidate and employee experience through timely communication, careful attention to detail, and consistent application of established HR procedures and systems.
ESSENTIAL FUNCTIONS/DUTIES:
- Schedule and coordinate virtual and on-campus interviews and related meetings, including securing meeting rooms, coordinating panel or committee logistics, arranging candidate travel, and ordering catering, as appropriate. Ensure logistics support a positive, inclusive, and welcoming candidate experience.
- Provide administrative calendar support for the Vice President of Human Resources and HR Directors, including scheduling meetings involving confidential matters, coordinating attendees, preparing materials, and making travel arrangements as needed.
- Assist Talent Acquisition and HR Partners with recruiting activities by preparing and posting job advertisements, tracking advertising activity, sourcing applicants as assigned, maintaining recruitment records, and issuing timely applicant communications.
- Serve as a liaison, as directed, between the Talent team, hiring managers, and external staffing agencies to support the placement of temporary or contingent staff.
- Collect and organize new hire documentation; create, maintain, and archive confidential personnel files in accordance with established retention and purge schedules, including paper I-9 records, under the direction of HR leadership.
- Act as a central point of contact for the Human Resources Office by monitoring and responding to inquiries received through the General HR inbox and other intake channels, addressing routine and non-routine questions regarding HR processes, procedures, and activities, and providing accurate information or routing inquiries to appropriate staff for specialized assistance.
- Support onboarding by issuing offer-related communications as directed, providing new hires with first-day logistics and instructions, responding to questions, and assisting with completion of onboarding tasks in Workday. Coordinate invitations for new hires to attend New Employee Orientation and deliver the HR presentation during the session.
- Initiate and monitor background check processes in accordance with institutional policy; review results, update records, notify hiring partners of issues, and troubleshoot process or system-related concerns.
- Monitor onboarding and compliance reports to ensure timely completion of required tasks, including I-9 documentation, background checks, and related onboarding requirements; complete I-9 documentation and associated recordkeeping for non-student employees in accordance with policy.
- Monitor and maintain inventory of office supplies, ensuring appropriate quantity is on hand, well organized, and accessible, to support office projects. Make sure that machines are functional; troubleshoot and schedule repair as needed.
- Maintain confidentiality and exercise discretion when handling sensitive and confidential information in a busy office environment.
- Retrieve, sort, and distribute departmental mail.
- May be assigned recruiting responsibilities for non-agency temporary staffing needs.
- Performs all other duties as assigned.
MINIMUM QUALIFICATIONS:
- An associate's degree in human resources, business administration, or a related field is required. An equivalent combination of education and experience may be substituted for the minimum educational requirement.
- Minimum of three (3) years of administrative experience, preferably in Human Resources, Talent Acquisition, or a related office environment.
