Position Summary:
The Human Resources Generalist supports the delivery of comprehensive human resources services for Larkin University's School of Dental Medicine and serves as an on-site HR resource for faculty, staff, and University leadership at the Winter Garden location. Working under the direction of the Chief Operating Officer & Vice President of Human Resources and in collaboration with School of Dental Medicine leadership, the HR Generalist supports recruitment, hiring and onboarding, benefits administration, employee records, employee relations, performance management, compliance, accreditation-related HR documentation, and other day-to-day human resources functions.
The position requires a service-oriented HR professional who can independently manage assigned responsibilities, maintain appropriate confidentiality, follow matters through completion, and effectively coordinate between University Human Resources, School leadership, employees, candidates, and other departments.
Key Responsibilities:
Recruitment, Hiring & Onboarding
- Coordinate recruitment activities for faculty and staff positions, including job postings, applicant tracking, candidate communications, interview coordination, and hiring documentation.
- Assist hiring managers throughout the recruitment and selection process.
- Coordinate pre-employment requirements, including background screenings, drug screenings, employment eligibility documentation, and other required clearances.
- Coordinate and track new-hire onboarding to ensure required HR, payroll, benefits, IT, facilities, and departmental activities are completed.
- Maintain communication with new employees and hiring departments throughout the onboarding process.
HR Administration & Employee Records
- Maintain accurate and confidential employee personnel records and HR documentation.
- Process employee status changes, transfers, promotions, reclassifications, and separations.
- Prepare and maintain HR forms, correspondence, reports, and employment documentation.
- Assist with HR information systems and employee data maintenance.
- Monitor outstanding HR matters and proactively follow up with employees, supervisors, and departments through completion.
Benefits & Employee Support
- Assist employees with health, retirement, and ancillary benefit enrollment processes and general benefit questions.
- Coordinate with University benefit brokers, retirement-plan representatives, and other benefit partners as appropriate.
- Support new-hire benefits orientation and employee benefit communications.
- Escalate complex benefit matters to University HR leadership as necessary.
Employee Relations & Performance Management
- Serve as an accessible on-site HR resource for employees and supervisors.
- Assist with employee relations matters while maintaining appropriate confidentiality and documentation.
- Support performance-management processes, corrective actions, employee evaluations, and related documentation under the direction of HR leadership.
- Communicate employee concerns requiring further review to the Chief Operating Officer & Vice President of Human Resources.
Compliance & Accreditation Support
- Support compliance with applicable employment laws, University policies, and HR procedures.
- Assist with HR documentation and personnel records required for institutional and programmatic accreditation.
- Support School of Dental Medicine accreditation activities requiring employee credentials, job descriptions, organizational information, or other HR documentation.
- Maintain awareness of applicable FERPA and Title IX requirements and University procedures.
General HR Operations
- Coordinate HR activities between the Winter Garden location and University Human Resources.
- Track assigned HR matters, deadlines, pending actions, and dependencies and provide timely status updates.
- Identify issues requiring escalation and bring them to HR leadership promptly.
- Participate in HR projects, process improvements, employee programs, and University initiatives.
- Perform other HR-related duties as assigned.
Required Qualifications:
- Bachelor's degree from an accredited college or university in Human Resources, Business Administration, or a related field; or a recognized professional Human Resources certification, such as SHRM-CP, SHRM-SCP, PHR, SPHR, or comparable HR certification.
- Minimum of three years of human resources or relevant administrative experience.
- Strong organizational, prioritization, and follow-through skills.
- Ability to independently manage multiple assignments and deadlines.
- Strong written and verbal communication skills.
- Demonstrated discretion and sound judgment when handling confidential and sensitive information.
- Proficiency with Microsoft Office and the ability to learn HR information systems and other University platforms.
Preferred Qualifications:
- Experience working in higher education, healthcare education, or a nonprofit environment.
- Experience with recruitment, onboarding, benefits administration, employee relations, HRIS, and personnel records.
- Familiarity with Title IX and FERPA.
- Familiarity with institutional or programmatic accreditation processes, particularly within dental or other health-professions education.
- Additional HR education, training, or professional certification.
Knowledge, Skills & Abilities:
- Working knowledge of human resources principles and practices, including recruitment, onboarding, benefits administration, employee relations, performance management, and personnel records.
- Knowledge of applicable employment laws, regulations, and HR compliance requirements.
- Familiarity with Title IX, FERPA, and compliance requirements applicable to higher education; familiarity with accreditation processes is preferred.
- Strong organizational and time-management skills with the ability to prioritize multiple assignments and meet established deadlines.
- Strong attention to detail and ability to maintain accurate, complete, and confidential employee records and documentation.
- Ability to exercise sound judgment, discretion, and professionalism when handling sensitive or confidential employee matters.
- Strong written and verbal communication and interpersonal skills, with the ability to work effectively with faculty, staff, administrators, candidates, and external partners.
- Ability to work independently, take ownership of assigned responsibilities, identify required next steps, and follow matters through completion.
- Ability to proactively follow up on outstanding matters and provide timely status updates without requiring continuous direction.
- Ability to recognize matters requiring escalation and communicate them promptly to HR leadership.
- Ability to interpret and consistently apply University policies, procedures, and established HR practices.
- Ability to collaborate effectively across departments and campuses while maintaining appropriate HR oversight and confidentiality.
- Ability to adapt to changing priorities and work effectively in a growing, multi-campus university environment.
- Proficiency with Microsoft Office applications and ability to learn and effectively utilize HRIS, benefits, applicant-tracking, and other University systems.
Performance Expectations:
The successful candidate will demonstrate professionalism, confidentiality, accuracy, responsiveness, sound judgment, initiative, and ownership of assigned responsibilities. The HR Generalist is expected to proactively monitor assigned matters, follow up with appropriate parties, maintain HR leadership informed of significant developments, and carry responsibilities through completion.
Working Conditions:
- Office-based position with occasional evening and weekend hours required during peak periods (e.g., commencement, audits).
- May involve lifting/moving academic files, diploma materials, or commencement supplies.
