Adhering to all compliance and reporting requirements required by ADHE, state and federal employment laws. Project participation and committee service are required as needed or appointed. This position serves as the first point of contact for the office and provides administrative support to the Director of Human Resources and other staff.
Key Responsibilities
HR Administration (25%):
- Coordinates the orientation, onboarding, and offboarding for all employees
- Responsible for the Employee and Dependent Tuition Discount program
- Oversees the Federal and Institutional Work Study Process
- Maintains employee records and files in compliance with employment laws
- Serves as initial contact for the Human Resources office
Compliance & Reporting (25%):
- Ensures compliance with all applicable employment laws and regulations
- Stays current on ASU System policies, fulfilling compliance standards and providing the college community with basic information when required
- Completes I-9 forms, verifies I-9 documentation and maintains I-9 files
- Maintains accurate employee records and documentation
- Tracks professional development and performance appraisals for all employees
- Oversees the Conflict of Commitment/Interest process
HR Projects (10%):
- Assists with various projects including performance appraisals and employee surveys
- Creates and maintains Human Resources’ standard operating procedures and electronic forms
- Other projects as necessary
Other (10%):
- Completes verifications of employment, tracks concurrent employment and completes necessary documentation and oversees the education discount process
- Serves on committees as assigned
- Completes other tasks as necessary or assigned
Payroll Administration (5%):
- Serves as back-up for payroll processing ensuring accurate and timely payment of wages
- Assists management, faculty and staff with pay-related issues
Administrative Tasks (25%):
- Answers the phone
- Provides exemplary customer service for applicants, employees, and visitors
- Retrieves and distributes mail
- Makes copies, files, scans, and emails documents as needed
- Provides administrative support for Human Resources and Payroll
REQUIRED EDUCATION/EXPERIENCE:
- Associate degree in Business, Communication, Accounting or other related degree is required while a bachelor’s degree is preferred.
- Minimum of three years of in-person customer service experience, two years of human resources experience, or one year of supervisory experience.
- Part or all the education may be substituted with related experience.
- Higher education experience preferred but not required.
- Experience with highly confidential information is desired
- SHRM or HRCI certification is a plus but not required.
- This position may require travel between all Arkansas State University-Beebe campuses on an as needed basis and requires a valid, unrestricted Arkansas Driver’s License.
