Duties & Responsibilities
- Construction closing administrationGenerate, circulate, and collect construction closing documents, including subscription and operating agreements, tax forms, letters of accreditation, and direct deposit formsStore and update information relating to investor onboardingEnsure timely delivery and accuracy of all closing documents prior to closingCoordinate collection of investor wires for construction closingsEnsure timely delivery of funds to achieve target close datesProvide confirmation of funds to investorsInput investors/ownership into property management softwareProvide project updates such as construction progress, occupancy trends, rents, etc.Provide portfolio updates for top 50 investors and as requestedBuild out department reporting function in collaboration with FP&A, Development, PowerBI, etc.Generate and distribute quarterly AppFolio reportsUpload quarterly financialsAssist in organizing investor events, meetings, roadshows, etc.Maintain and update investor contact databasesAct as primary liaison with Investment Management Software Company (AppFolio)Conduct outreach initiatives to HNW individuals, family offices, and other prospective investors, to initiate intro calls with the IR teamGenerate refinance projection schedulesGenerate and distribute cash call documentsRename, sort, store, and upload tax documentsPerform general auditing on a quarterly, bi-annual, and annual basisCollect signatures for operating agreement amendments and incentive ownershipCollect and store 83(b) tax forms and ensure timely delivery to the IRSInput investor data and operating agreement data into investor relations softwareGenerate Multiphase Letters for Investor Relations ManagerMonitor entity drive to create efficiencies and improve accuracy of recordsScan and save executed documents onto Investor Relations SharePoint and other databasesAssist with preparing investor presentation materialsReconcile expense reports as neededCoordinate meetings per request of the Investor Relations teamGenerate capital call lettersGenerate investor loan lettersCoordinate trips for the Investor Relations teamAll other related duties, as assigned

Required Qualifications
- High School Diploma or GED requiredUndergraduate degree in business, finance, or a related field preferred3 years of administrative experienceInvestor Relations or finance experience preferredExcellent computer proficiency
Physical Requirements:
- Must be able to use standard office equipment such as computers, desk phones, cell phones, photocopiers, etc. Must be able to navigate stairs occasionally, particularly in the event of elevator outages or during emergency situations. Must be able to sit for extended periods of time, stand, bend, and walk with the ability to lift 30 pounds occasionally.
Attendance and Scheduling:
- Punctuality and consistent attendance are essential for success in this role, and employees must adhere to set start times and assigned schedules. Occasional travel may be required for team outings, training sessions, or company-sponsored events, estimated at less than 5% annually.
- Job is performed in a professional office environment. Exposure to varying indoor temperatures depending on location in the building and season. Combination of natural daylight and standard office lighting throughout the workspace. Movement across multiple flooring types, including tile, carpet, and other transitions. An open workspace layout, defined by a shared space without traditional enclosed offices or high-walled cubicles, may introduce distractions or reduce privacy. Possibility of shared desk spaces.
