IT Procurement Specialist
Job Summary
The IT Procurement Specialist is responsible for managing and optimizing the acquisition of software and technology services across the institution. This role ensures cost efficiency, compliance with procurement policies, and strategic vendor management. The specialist will review software requests, identify opportunities for contract consolidation, eliminate duplicative usage, and negotiate favorable terms with vendors to reduce institutional costs.
Responsibilities
- Software Request Review & Analysis: Evaluate incoming software requests for compliance with institutional standards. Assess functional requirements and identify opportunities to leverage existing solutions. Prevent redundant purchases by analyzing current software inventory and usage.
- Contract Consolidation & Cost Optimization: Identify overlapping contracts and recommend consolidation strategies. Develop cost-saving initiatives through enterprise licensing and volume discounts. Monitor software renewals and proactively negotiate terms to optimize spending.
- Vendor Management & Negotiation: Serve as primary liaison with software vendors for pricing, licensing, and support agreements. Negotiate discounts, favorable payment terms, and service-level agreements. Maintain strong vendor relationships while ensuring competitive pricing.
- Compliance & Governance: Ensure adherence to institutional procurement policies and regulatory requirements. Maintain accurate records of contracts, licenses, and procurement activities. Collaborate with legal and finance teams to review contract terms and mitigate risk.
- Reporting & Analytics: Prepare reports on software spend, cost savings, and procurement performance. Track KPIs related to vendor performance and contract efficiency. Provide insights into leadership for strategic decision-making.
- Perform other duties as assigned.
Required Qualifications
Bachelor's degree from an accredited college or university and one year of related experience.
Preferred Qualifications
Experience in higher-ed setting. Experience with ServiceNow. Experience in an academic environment.
Knowledge, Skills, & Abilities
Proficient in Microsoft Office and other computer software/databases.
Familiarity with Adobe Acrobat (using and modifying PDF documents) is recommended.
Must excel in database creation, software use, and maintenance.
SKILLS
Excellent interpersonal, written, and verbal communication skills.
Detail-oriented with strong prioritization and organizational skills.
Excellent negotiation and analytical skills.
Proficiency in procurement systems (e.g., PeopleSoft, SAP) and contract management tools.

Shift/Salary/Benefits
Shift: Days; M-F (Work outside of the standard business hours may be required)
Pay Band: B9
Salary: $48,800/annually-$50,542.86/annually
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position
