Position Overview
Starting Salary Range is $85,841.60 - $90,220. The initial salary offer is commensurate with education and related work experience.
The Assistant Controller will assist the Controller in day-to-day operations of the Business Office ensuring efficient and effective service to the student body, faculty, and staff in all financial activities. The duties of the Assistant Controller include responsibility for accounts payable, general ledger accounting, Foundation accounting, monthly close, and other assignments specified by the Controller. This position manages the day-to-day activity associated with accounting for and ensuring adequate control of the financial resources of the College and Foundation. Along with the Controller, the Assistant Controller will also ensure compliance with Generally Accepted Accounting Principles.
Essential Duties & Responsibilities
- Assist Controller in directing and supervising daily accounting operations and ensuring adherence to established standards of accounting principles, government statutes, and regulations.
- Responsible for the application of advanced accounting principles including, but not limited to, regular and ad hoc financial reporting, reconciliations, ledger maintenance, and travel expense.
- Develop and recommend policies, procedures, and guidelines for recording financial information and improving accounting processes in conformity with Generally Accepted Accounting Principles.
- Reconcile Income Statement and Balance Sheet accounts and recommend and/or make corrections as needed.
- Responsible for assisting with the preparation of monthly Board Financial and Management Reports.
- Assist with the development and oversight of the Annual Operating Budget.
- Assist the Controller with the preparation of the annual audit.
- Responsible for the oversight of all tax-related items to the Business and Finance Division, 1099, 1098, etc.
- Oversee the daily processing of incoming invoices, payments.
- Answer questions from departments regarding expenditures and budgets, work with departments to resolve issues. Provide reports as requested.
- Respond to phone calls and requests from employees and public; resolve issues related to the Business Office.
- Establish new accounts when needed.
- Enter all budget transfers into the system and send a confirmation to requestor after verifying all approvals.
- Supervise the reconciliation of college bank accounts and adjusting entries.
- Verify that payments/vouchers/journals have been posted to the ledger.
- Supervise the maintenance of the A/P files, reconciliation of invoices, purchase orders, receiving reports, and supporting documentation.
- Assist the Lee College Foundation with accounting as needed.
- Resolve journal errors and process the journal.
- Maintain and secure check stock, office supplies, and office equipment.
- Coordinate the credit card processing, ordering of equipment, and maintain terminal and account information for Lee College. Resolve disputed and fraudulent charges.
- Process bank wires and provide adjusting entry.
- Verify bank fees, review Positive-Pay Exception Report daily, and provide copies of checks when needed.
- Maintain a working relationship with the bank representative. Update and maintain bank signature cards as needed. Set up new accounts as requested by Controller and VP of Finance & Administration/CFO.
- Import PCard journal from purchasing and verify accounts before importing Resolve errors on the journal. Journal and make corrections.
- Oversee Higher One distribution process with General Accounting Clerk.
- Monitor and approve employee time in Jantek.
- Recommend hiring, discipline, and discharge of staff as needed.
Additional Duties & Responsibilities
- Attend meetings, seminars, and workshops; serve on committees.
- Perform other duties as assigned.
Minimum Education, Experience, Knowledge, Skills & Abilities
- Bachelor's (or higher) degree in Accounting
- Seven (7) years of related work experience as an accountant
- Extensive knowledge of Microsoft Word and Excel
- Knowledge of contracts and agreements
- Strong customer service skills
- Strong supervisory/managerial skills
- Ability to handle multiple tasks
- Work with a variety of staff and outside funding agencies
- Must be available to work evenings and weekends as needed
