University Facility Services is seeking a skilled and experienced Maintenance Shop Manager to lead and support our team of HVAC Mechanics, Apprentices, Trades Helpers, and General Maintenance staff. This position is responsible for overseeing the repair, maintenance, and installation of HVAC systems and equipment, as well as coordinating daily shop operations. The Maintenance Shop Manager plays a key role in ensuring efficient and timely repairs, implementing preventive maintenance programs, and maintaining the overall functionality of campus facilities.

Duties & Responsibilities

  • Coordinate the day-to-day activities of Mechanical Shop employees to ensure that production equipment, machinery, or instruments function reliably and safely and that facilities, buildings, and plants are in good working order.
  • Work with Shop Leads to prioritize and assign tasks so that the team's resources are used effectively and that work schedules and targets are met.
  • Plan and develop work schedules, equipment usage schedules, priority of mechanical equipment expenditures and procedures for equipment maintenance.
  • Review plans for future buildings and inspect new buildings to ensure compatibility with existing building codes and maintenance standards.
  • Inspect completed work to check that repairs have been completed correctly and that machinery and equipment conform to specifications and safety standards.
  • Train or inform employees of new work methods or procedures, changes in safety regulations, building codes and standard work policies.
  • Coach and mentor maintenance staff and assist them to diagnose more complex problems with machinery or equipment.
  • Maintain time, payroll and material records and submit reports as required.
  • Make decisions regarding hiring, evaluation, promotion and termination of employees, or make related recommendations that are given particular weight.
  • Interpret university and department policies to assigned personnel and enforce safety regulations and adhere to proper codes and standards.
  • Serve as primary point of contact for Mechanical Shop requests from the campus community for maintenance, renovations work, and renovations.
  • Provide excellent customer service throughout any HVAC mechanical project.
  • Supervise and train maintenance staff, assign work orders, and ensure quality of work.
  • Maintain accurate records of repairs, maintenance activities, and equipment logs.
  • Identify opportunities to optimize maintenance processes and reduce cost.
  • Prepare material and labor estimates.
  • Monitor the acquisition and use of materials.
  • Ensure budgeting guidelines are met; prioritizes shop expenditures to stay within budget and assists in preparation of capital and operations budgets.
  • Inspect new construction and remodels.
  • Assist engineers in design requirements.
  • Develop and implement maintenance procedures and schedules, including proactive maintenance and inspection.
  • Troubleshoot equipment issues, identify root causes, and implement solutions.
  • Enforce safety policies and procedures, ensuring a safe working environment.

Knowledge, Skills, and Abilities:

  • HVAC Systems and Technology: Heating, ventilation, air conditioning, refrigeration systems. Residential, commercial, and industrial system differences. Controls, ductwork, electrical, and mechanical integration.
  • Safety Regulations: OSHA safety standards. Proper use of PPE and safety procedures.
  • Technical Skills: Troubleshooting complex HVAC systems. Reading blueprints, schematics, and technical manuals. Using diagnostic and testing equipment. CMMS software proficiency (Computerized Maintenance Management Systems).
  • Lead and Supervise Teams: Motivate and manage technicians and support staff. Handle disciplinary actions and morale-building.
  • Clear reporting to clients, technicians, and upper management. Training staff and conveying complex technical concepts.
  • Work Under Pressure: Manage crises (e.g., system failures, tight project deadlines).
  • Physical Stamina and Coordination: While not always hands-on, the ability to work in or understand physical environments is key.

Physical Requirements:

  • Lifting: Employees are frequently required to lift/move/transport up to 50 lbs.
  • Outdoor Environment: Employees work outdoors and may not be protected from weather conditions.
  • Extreme Heat: Temperatures above 100 degrees for more than an hour.
  • Noise: There is sufficient noise to cause you to shout in order to be heard above the noise level.
  • Vibration: Exposure to oscillating movements of extremities or whole body.
  • Hazards: Includes a variety of physical conditions, such as proximity to moving mechanical parts, moving vehicles, electrical current, working on scaffolding and high places, or exposure to chemicals in a work setting.
  • Close Quarters: Employees are frequently required to work in crawl spaces, shafts, manholes, sewage and water line pipes, and other areas that could cause claustrophobia.

Minimum Qualifications

  • Minimum of 3 years of related work experience or equivalent combination of education and work experience required.
  • Bachelor's degree or equivalent advanced learning attained through professional level experience required.
  • Must have a valid driver's license and ability to drive according to the University Fleet Safety Policy.

Preferred Qualifications

  • HVAC Trade School or Technical College Certificate.
  • 4 years of HVAC job experience.
  • 5 years of experience leading a team.
  • OSHA Safety Certification.
