Job Description
The incumbent will provide administrative, operational and coordination support to the Research Supply Store within the Central Procurement Department. Key responsibilities include, but are not limited to the following:
- Perform rotational shift frontline counter duties to receive/issue deliveries and attending to enquiries.
- Assist in inventory management, including stock replenishment, stock takes, freezer programme and ensure adequate inventory levels are maintained.
- Monitor the yearly expenditure of the freezer programme contracts, including reviewing monthly billings and resolving any discrepancies.
- Process goods receipt transactions for deliveries and ensure compliance with relevant procurement policies, procedures and guidelines.
- Perform verification of users’ purchases from the supply store and chargebacks.
- Liaise with vendors, stakeholders and finance on invoice-related matters.
- Prepare standard operating procedures and instructional workflows for supply store activities.
- Provide support for the Supply Store Inventory and Self-Checkout System testing when required.
- Perform any other related duties as assigned by the supervisor.
Qualifications
Job Requirements
- Diploma in a related discipline.
- Prior experience in procurement and knowledge of SAP and Ariba System would be advantageous.
- Prior work experience in academic environment would be an advantage.
- Meticulous, well-organised and able to manage priorities.
- Possess good communication, interpersonal skills and able to work well in teams
- Proficient in Microsoft Office applications.
