Position Highlights

The Department of Dermatology seeks a Medical Education Program Professional, Senior (MEPP III) to manage the Dermatology Residency Program, manage medical student rotators and research initiatives, and provide administrative support for the Dermatology Department Chair. The Dermatology residency program includes multiple disciplines and locations, so keen attention to detail and effective communication with stakeholders at multiple levels is essential. A high degree of professionalism, organization, discretion, initiative, collaboration and good judgment is expected. This position requires initiative, flexibility, and the ability to respond to diverse challenges along with independent judgment. They will be expected to demonstrate the highest levels of confidentiality, integrity, punctuality, and dependability while carrying out the daily responsibilities of the position. Strong oral and written communication skills along with a keen attention to detail and computer proficiency in Microsoft Word, Excel, and Outlook is essential. The position will work closely with the Department Chair, Residency Program Director, as well as interface with the Department of Dermatology Business Office.

Duties & Responsibilities

  • Assists the Program Director with writing and the development of all Residency Program required documentation, including preparation of accreditation materials, development of rotation goals and objectives, and management of rewriting program materials in compliance with ACGME regulations and regulatory changes.
  • Advises the Program Director of requirement interpretation and effectively communicates faculty, staff, and residents of any updates. Prepares the monthly rotation schedule for the residents in close collaboration with the Program Director and Chief Resident.
  • Creates, interprets, and communicates policies, procedures, and reporting requirements. Prepare and distribute Residency Program Manual.
  • Oversees and actively participates in proctoring training exams, ensuring compliance with established standards and protocols, such as proctoring the annual ABD In-Training Exam for residents.
  • Participates in the development of new procedures in response to new/revised policies issued by governing agencies or the Program Director.
  • Attends annual ACGME and specialty specific meetings and workshops.
  • Assists Program Director with preparing academic annual reports for multiple outside agencies, as well as for internal UA requests from the College of Medicine, GME office, and Deans' offices.
  • Leads the design and development of medical resident programs including coordinating rotations for Dermatology and Procedural Dermatology residents (with outside organizations, hospitals, private practices).
  • Serves as program liaison with faculty, staff, and hospital / clinic personnel.
  • Fosters collaboration between the department and stakeholders including College of Medicine departments of Rheumatology and Oncology, Banner, and private practices.
  • Manages resident recruitment activities for program which includes gathering data from the AAMC ERAS system, collating documents and preparing for interviews, and communicating information to recruits over the phone, in person, and via email.
  • Coordinates and advises on accreditation process and institutional requirements.
  • Oversees and prepares accreditation annual and ad hoc reports, and coordinates site visits for readiness and compliance
  • Prepares required accreditation documents and reports in preparation for site reviews.
  • Shapes the overall recruitment strategy and coordinates annual recruitment process for Academic Dermatology and Procedural Dermatology.
  • Coordinates all social functions for the Residency Program.
  • Develops and oversees annual program budget, monitors monthly financial reports, and manages resource management for the residency program and medical student research.
  • Coordinates resident and faculty reimbursements, including preparing travel paperwork.
  • Prepares forms for department reimbursements including disbursement vouchers, purchasing card transactions, and/or on-line requisitions.
  • Coordinates new resident trainings and orientation, along with other Program related events.
  • Maintains residency program website and alumni database, dermatology student research website, and prepares the annual newsletter for the Department.
  • Serves as primary UA Residency Program P-card holder, making purchases directly related to program and sending documentation in for approval while ensuring all policies are strictly enforced and followed.
  • Independently handles problems that require complex evaluation and interpretation and the development of unique approaches.
  • Provides administrative support to the Department Head, Residency Program Director, faculty (when requested), and Dermatology residents, including scheduling meetings, organizing and/or preparing departmental administrative reports, tracking program expenses, coordinating distribution/collection of resident evaluations, maintaining personnel files, analyzing, summarizing and interpreting information, and recommending best actions to be taken.
  • Manages office workload by responding to day-to-day inquiries, providing information, and interpreting Departmental, University, and Banner policies, procedures, and operations.
  • Assists with faculty recruitment and hiring, set schedules, create agendas, and arranges meetings as needed for Department Head and other members of the division.
  • Maintains bi-weekly time sheet record for UA employees.
  • Develops the overall strategy and road map for medical education initiatives, including medical student engagement such as research and pairing faculty research mentors with students
  • Ensures medical students and residents participating in research complete all regulatory requirements and training
  • Coordinates Department pilot awards for faculty and trainee research, including managing the research budgets and expenditures.

Knowledge, Skills, and Abilities (KSAs)

  • General knowledge and use of medical education principles, theories and concepts.
  • Complete knowledge of all job functions and the broad industry best practices, techniques and standards.

Minimum Qualifications

Bachelor's degree or equivalent advanced learning attained through professional level experience required. Minimum of 5 years of relevant work experience, or equivalent combination of education and work experience.
