Medical Records Associate
Position Summary
This position provides customer service to all clients of the Medical Records Department. Primary responsibilities include: attaching documentation to patient records; answering and routing phone calls, emails and faxes in a timely manner; processing records requests, and other duties as assigned. This position will assist the VTH Business information systems manager in providing first level support for end users of Vetview and Instinct applications such as login issues and basic functionality.

- Function effectively in an environment of multiple and conflicting priorities and to arrive at effective decisions in short period of time.
Duties/Responsibilities
- Provide customer service by assisting internal clientele in the Medical Records office attaching documentation to patient records; placing, answering, and routing phone calls, emails, and faxes in a timely manner; processing records requests;
- Assist in providing first level support for end users, such as login issues and basic functionality in Vetview and Instinct (the medical records platforms for the hospital)
Percentage of time: 30
- Organize medical records and paperwork; audit records for completion of required documentation; and archive files
- Active participation in departmental process improvement projects
Percentage of time: 25
- General use of e-mail and electronic scheduling aids
- Copying/Printing/Faxing
- Other duties as assigned
Percentage of time: 25
- Completing transfer of ownership requests thru the electronic medical record system for the small and large animal hospital that involves speaking to the client to confirm rights to ownership, validate documentation provided, and update information in Vetview system.
- Completion of transfers for donating animals to the large animal hospital.
- Serve as back up medical records front desk during times of team absences
- Assist in resolving inaccuracies and duplications in records within Vetview
