Portland Community College (PCC) is seeking a full-time, permanent New Student Advising Program Coordinator for the Office of New Student Engagement within the Division of Enrollment Management. This position plays a vital leadership role in coordinating new student onboarding and advising initiatives designed to help students successfully transition into college life and begin their academic journey at PCC.

Under the direction of the Director of New Student Engagement, the Program Coordinator supports both the implementation and continuous improvement of new student advising, registration, and onboarding programs. This includes coordinating large-scale new student events, collaborating with internal partners to ensure program alignment, and providing direct support to students during critical enrollment milestones. The Program Coordinator will also lead special projects and initiatives assigned by the Director that strengthen new student success, departmental operations, and institutional equity goals.

This position requires a proactive, collaborative professional who thrives in dynamic environments and can balance program coordination, event management, and direct student support with strategic thinking and attention to detail. The role includes a combination of remote work, on-campus responsibilities, and off-site event coordination, with occasional evenings and weekends as needed to support new student onboarding activities.

What You'll Do and Who We Are Looking For

Duties and Responsibilities

  • Develops and maintains a college-wide new student communication and engagement plan for academic onboarding that includes direction and guidance for the course placement process, academic program exploration, initial academic/career path decision making, first-term academic planning, first-term registration, and individualized resource referral.
  • Develops and maintains content for new student advising sessions and is responsible for college-wide consistency of content and delivery of services.
  • Trains professional and peer advisors related to new student advising content and services.
  • Collaborates closely with other coordinators, faculty, and managers across multiple departments for the assigned campus/online location to support a seamless new student onboarding experience.
  • Delivers group and individual advising services to students. Interacts with students, faculty, staff, and the public, providing information, general assistance, and problem resolution.
  • Develops and maintains relevant content/curriculum and service delivery methods/materials for required New Student Advising & Registration sessions; serves as lead advisor for sessions; assesses needs and works with partners to create and support academic onboarding sessions for specific student populations.
  • Facilitates small and large group advising sessions; provides individual academic advising services and support through in-person and virtual modalities; maintains strong knowledge of the multiple new student entry points and unique student retention and academic program opportunities and requirements; makes appropriate referrals and connections for student support.
  • Coordinates and uses advising and related systems technologies (e.g., Slate, EAB Navigate, GradPlan, and Banner) to manage new student caseload related to academic onboarding/engagement; oversees automated new student college readiness intake survey and associated resource referral process; supports process for transitioning new students to assigned academic advisors in first term.
  • Collaborates with campus and district administrators, admissions/recruitment, academic advising, enrollment services, career services, testing centers, student resource centers, disability services, student learning centers, student leadership, retention programs for specific populations, academic programs, and other student resources to align efforts for seamless and integrated new student onboarding activities;
  • Coordinates peer advisor program and leads and monitors the work of student (peer advisors) and casual staff involved in delivering new student academic onboarding services; includes recruiting, screening, designing and delivering training, and overseeing work; performs coaching, participates in performance evaluations; works with managers to process personnel paperwork, monitor time, and acknowledge timesheets for student and casual employees.
  • Collects data and generates reports related to usage, student satisfaction, and impact of new student advising services for assigned campus/location; evaluates data and works with administrators to support continual process improvement.
  • Represents new student academic advising on a variety of campus and college leadership teams, committees, work groups, and initiatives related to multiple measures placement, guided pathways, student success, and retention.
  • Resolves problems and handles difficult student situations, and provides appropriate referrals to other service areas.
  • Works with management to develop, monitor, and reconcile the budget related to academic onboarding services.
  • May oversee the work of student and casual staff.
  • Performs other duties as assigned.

Minimum Qualifications

  • Bachelor's degree from an accredited institution in Education, Psychology, Social Sciences, Counseling, Student Affairs/Development, or related field.
  • Relevant experience may substitute for the degree requirement on a year-for-year basis.
  • Two years of professional experience in a post-secondary educational setting providing academic advising, career counseling, student retention/coaching, or related student support services.

  • Collaborates effectively across multiple departments to align onboarding, advising, and enrollment processes, strengthening a seamless, student-centered experience across the college.
  • Applies student success theories and differentiated advising strategies to support diverse new student populations, providing guidance, training, and modeling for staff and peer advisors.
  • Leads the coordination and implementation of large-scale onboarding and advising events with strong logistical planning, attention to detail, and responsive problem-solving.
  • Remains current in student retention and onboarding research, evaluates program effectiveness, and uses data to inform continuous improvement of services and practices.
  • Exercises sound independent judgment and adaptability in dynamic or ambiguous situations, balancing student needs, institutional policies, and program goals to advance onboarding efforts.

Work Environment and Physical Requirements

Work is performed in an office environment. Work also involves sitting at a computer and being on the phone for extended periods. Tight grant timelines require the incumbent in this classification to work flexible hours. Some travel throughout the district is required. Occasional lifting of equipment used in training workshops, which may weigh up to 30 pounds, is required.

  • Operating a computer and various supporting software packages.

  • Diffuse emotional or tense situations and offer viable solutions.
  • Effectively communicate in oral and written form.

How We Determine Initial Salary Placement

The first two steps of the range are: $61,342.00 to $65,327.00 annually. Placement will generally not exceed the mid-point, based on qualifications, experience, and internal equity.
