GENERAL STATEMENT OF JOB
Johnson C. Smith University (JCSU) seeks a highly organized,
collaborative, and results-oriented Program Manager to support the
implementation of the NSF Award 2606101: Implementation Project:
JCSU Bullprint Program, funded through the National Science
Foundation's Historically Black Colleges and Universities
Undergraduate Program (HBCU-UP). The NSF award supports a four-year
project period from October 15, 2026 through September 30, 2030.
This is a grant funded position.
Reporting to the Principal Investigator (PI), the Program Manager
will provide day-to-day operational leadership and coordination for
the JCSU Bullprint Program and will serve as a central point of
coordination among project leadership, faculty, students,
institutional offices, external partners, and other project
stakeholders.
The Program Manager will be responsible for coordinating project
activities and timelines; organizing the collection, management,
and analysis of project data; facilitating student and faculty
activities; coordinating and managing Bullprint Learning Assistant
training and related faculty-development activities; monitoring
project milestones and deliverables; supporting grant-related
financial and purchasing processes; maintaining project
documentation; and assisting the PI and project leadership with
required NSF reports and other grant deliverables.
The position requires an individual who can translate the project's
goals and implementation plan into organized, measurable, and
well-documented operations while maintaining close coordination
with the PI and project leadership.
SPECIFIC DUTIES AND RESPONSIBILITIES
- Coordinate the day-to-day implementation and administration of
the JCSU Bullprint Program under the direction of the PI.
Develop and maintain a comprehensive project implementation
calendar incorporating activities, milestones, deliverables,
reporting deadlines, meetings, training activities, and other grant
commitments.
Track progress toward project objectives, milestones,
performance indicators, and deliverables and provide regular status
updates to the PI and project leadership.
Coordinate project-team meetings, advisory meetings, faculty
activities, student activities, workshops, training sessions, and
other grant-supported events.
Prepare agendas, meeting materials, implementation updates,
action-item logs, and follow-up documentation.
Identify emerging implementation issues, scheduling conflicts,
or barriers to meeting project milestones and elevate them to the
PI with recommendations for resolution.
Coordinate across University departments and offices to
facilitate timely execution of project activities.
Maintain organized and auditable project records, including
implementation documentation, participation records, meeting
records, deliverables, and supporting materials.
Organize and coordinate the collection, maintenance,
verification, and analysis of quantitative and qualitative data
generated through the project.
Maintain project-level data files and tracking systems
necessary to monitor participation, implementation, outputs,
milestones, and outcomes.
Work collaboratively with the PI, project leadership,
institutional research personnel, faculty, and project evaluators
to ensure that required data are collected accurately and according
to established timelines.
Monitor project performance indicators and prepare periodic
dashboards, summaries, and progress reports for project
leadership.
Coordinate data requests and documentation needed for formative
and summative evaluation activities.
Support the use of evaluation findings and project data to
inform continuous improvement and adjustments to
implementation.
Assist in maintaining documentation related to project
outcomes, products, activities, and broader impacts for NSF
reporting.
Coordinate the implementation and ongoing management of the
project's CITL Liaison training initiative .
Work with project leadership to schedule training, workshops,
meetings, and professional-development activities for participating
faculty and liaisons.
Coordinate participant communication, registration, attendance
tracking, materials, evaluations, and follow-up activities.
Maintain documentation of faculty participation,
professional-development activities, deliverables, and
implementation progress.
Serve as an operational liaison among CITL Liaisons, project
leadership, participating faculty, and appropriate University
offices.
Assist with identifying implementation needs and facilitating
resources necessary to support faculty participation and project
objectives.
Facilitate and coordinate student and faculty participation in
Bullprint Program activities.
Manage communications, scheduling, logistics, registration,
attendance, and documentation associated with grant-supported
activities.
Maintain accurate participant records and monitor participation
against project goals.
Coordinate with faculty, academic programs, student-support
units, and other institutional partners to support successful
implementation.
Assist with planning special programs, workshops, meetings, and
other activities supported by the grant.
Support participant communications and ensure students and
faculty receive timely information regarding program expectations,
opportunities, deadlines, and activities.
Assist the PI with monitoring the project budget and
expenditures in collaboration with the University's grants,
finance, and sponsored-program personnel.
Maintain internal budget tracking tools and provide regular
expenditure updates to the PI.
Assist with purchasing, procurement, travel, personnel actions,
reimbursements, and other administrative processes associated with
grant implementation.
Track expenditures against approved project activities and
budget categories and identify potential variances for review by
the PI.
Maintain supporting documentation necessary for grant
administration, financial review, and audit readiness.
Assist in ensuring that project activities and expenditures are
consistent with University policies, NSF award requirements, and
applicable federal requirements.
Support the preparation and compilation of information for
annual NSF project reports, internal reports, continuation
documentation, site visits, audits, and other required
reporting.
Maintain a calendar of NSF and institutional reporting
deadlines and coordinate the timely collection of information from
project personnel.
The University's award notice specifically notes the
continuing-grant structure and annual project-report requirement,
making strong documentation and reporting systems an important
component of this position. NSF guidance likewise places
responsibility on award recipients to monitor performance against
project goals, schedules, and award requirements.
- Serve as a central point of contact for routine operational
matters related to the Bullprint Program.
- Facilitate effective communication among the PI, co-PI(s),
project personnel, faculty, students, University offices,
consultants/evaluators, and other partners.
- Prepare project correspondence, presentations, summaries,
briefing materials, and other communications as requested.
- Represent the project at appropriate institutional meetings and
events as designated by the PI.
- Perform other grant-related duties necessary to support
successful project implementation and assigned by the PI.
MINIMUM TRAINING AND EXPERIENCE
- Bachelor's degree from an accredited college or
university.
- Minimum of three years of progressively responsible
professional experience in program coordination, project
management, higher education administration, grants administration,
student success, academic affairs, research administration, or a
related area.
- Demonstrated experience coordinating multiple projects,
activities, deadlines, or stakeholders simultaneously.
- Experience collecting, organizing, tracking, and reporting
data.
- Demonstrated ability to manage detailed records and produce
accurate reports.
- Strong written, verbal, organizational, and interpersonal
communication skills.
- Demonstrated proficiency with Microsoft Office applications,
particularly Excel, Word, PowerPoint, and Outlook, or comparable
productivity platforms.
- Ability to work collaboratively with faculty, staff, students,
senior administrators, and external partners.
- Ability to work independently, exercise sound judgment, manage
competing priorities, and meet firm deadlines.
- Ability to handle institutional and project information with
appropriate discretion and confidentiality.
- Experience working in a college or university environment.
- Experience supporting a federally funded grant or sponsored
project.
- Familiarity with National Science Foundation or other federal
grant requirements.
- Experience with project management, budget tracking,
purchasing, or sponsored-program administration.
- Experience coordinating faculty development, training,
student-success initiatives, STEM programs, or externally funded
educational programs.
- Experience working with institutional research, assessment,
program evaluation, or performance-measurement activities.
- Experience developing project dashboards, tracking systems,
implementation calendars, or other project-management tools.
- Familiarity with HBCUs and/or programs designed to strengthen
undergraduate STEM education and student success.
