SUMMARY
This position primarily provides front desk coverage in the Financial Aid Office and back-up on phone coverage. Logs mail received in the office daily, opens and date stamps mail, reviews documents for completeness and accuracy, and returns documents as necessary. The Office Assistant 2 prepares documents for scan, and indexes those to prepare for packaging by Financial Aid Advisers.
JOB FUNCTIONS
Essential Job Functions:
- Disseminates information to students, parents and college staff at the front desk reception area; including scheduling appointments
- Reviews all documents received in the Financial Aid Office and requests pertinent information; scans and indexes all documents into the Financial Aid Office imaging system
- Completes weekly and biweekly reports generated through the Financial Aid Office weekly data load process
- Maintains and processes all mail generated/received by the Financial Aid Office
- Solves financial aid-related problems
- Monitors and prioritizes Office Assistant II assignments
- Inputs Equal Opportunity Program (EOP) verification packets and documents
- Distributes mail
- Maintains award letters
- Maintains tracking letters
- Distributes reports
- Covers phone queue and email Reponses
- Completes forms and procedure updates
- Trains Financial Aid Office staff; including student employees when necessary
- Adheres to the College of Brockport Student Loan Practices Code of Conduct and SLATE Regulations
REQUIREMENTS
Minimum Qualifications:
NON-COMPETITIVE MINIMUM QUALIFICATIONS (NY HELPS):
One year of clerical experience.
COMPETITIVE MINIMUM QUALIFICATIONS (NON-NY HELPS):
Candidates must have permanent appointment in an Office Assistant 2 NY State classified position or be reachable for appointment on the current NY State Civil Service eligible list for Office Assistant 2 Full-Time, Brockport location.
ADDITIONAL INFORMATION
Work Schedule:
37.5 hours/week: Monday - Friday 8:00am - 4:00pm in office
