Office Associate- MCG-Otolaryngology
Job Summary
This position will provide administrative support to faculty and advanced practice providers in the Department of Otolaryngology. The duties include, but are not limited to: providing phone coverage, assisting faculty members with dictation, documentation, and inquiries, handling internal and external correspondence, routing grant applications, maintaining multiple calendars, coordinating and scheduling meetings, making travel/lodging arrangements, preparing travel authorizations/expense reports, preparing CME and/or teaching materials for seminars, arranging visitor/candidate itineraries, maintaining filing system, serving as department conference room coordinator, coordinate facilities maintenance requests, serve as department receptionist, assist department management team and other duties as assigned.
Responsibilities
- Administrative support to Otolaryngology faculty and advanced practice providers to include preparation/planning for meetings and events, maintaining calendars, assisting with CME and/or teaching material preparation, travel and hotel arrangements, travel requests and expense statement processing, coordinating visitor/candidate itineraries, assisting with physician credentialing and licensing packets.
- Serve as department conference room and library coordinator. Activities include managing reservations for Otolaryngology conference room, overseeing conference room and library cleanliness and maintenance, ordering books and materials for library, maintaining book filing system in library.
- Serve as Otolaryngology receptionist; greet all visitors, phone coverage, electronic fax distribution, and department calendar distribution.
- Coordinate maintenance requests with Facilities for all Otolaryngology offices.
- Assist office manager and/or business manager with special projects and other duties as assigned.
Required Qualifications
High School Diploma/GED from a recognized State or Federal accrediting organization and a minimum of one year of office support experience.
Preferred Qualifications
Associate degree from an accredited college in a related field and/ or knowledge of medical terminology and transcription, and/or customer service experience.

SKILLS
Proficient in Microsoft Office and other computer software/databases.
Excellent interpersonal, written, and verbal communication skills.
Excellent organizational, time-management, customer service, prioritization and office procedure skills.
ABILITIES
Ability to maintain confidentiality.
Ability to work independently, manage multiple tasks, complete work and meet deadlines.
Shift/Salary/Benefits
Shift: Days; Monday - Friday
Salary: $15.77-17.91 per hour.
Pay Band: B2
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position.
