JOB TITLE:
Office Associate - UW School of Graduate Education
JOB PURPOSE:
Perform advanced office and administrative/management support
tasks.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Perform administrative tasks and projects in support of the
Dean/VP for the School of Graduate Education and all other staff
members within the School of Graduate Education, which will include
the oversight of all office functions; manage front desk, greet
people, answer phones, schedule meetings, manage School of Graduate
Education email, public relations/communications, provide guidance
to students, staff, faculty and outside constituencies regarding
graduate education policies and procedures, manages office supplies
inventory.
- Manage all academic graduate forms procedures.
- Analyze, process, organize and maintain graduate data and
communications as required. This may include assisting supervisor
by researching problems and providing resolution(s) as
directed.
- Event planning and coordination - includes: setting up and
running Zoom/Teams meetings.
SUPPLEMENTAL FUNCTIONS:
- Provide training regarding department and University
procedures; may provide computer application(s)/procedures
training.

- Assist with revision of forms and office procedures.

MINIMUM QUALIFICATIONS:
Education:
High School Diploma or GED
Experience:
2 years progressively responsible work-related experience
Required licensure, certification, registration or other
requirements: None
DESIRED QUALIFICATIONS:
- Experience answering telephones, maintaining calendars, and
scheduling appointments and group meetings
- Well-developed oral and written communication skills
- Office management skills, which includes ordering supplies and
managing inventory
- Ability to develop and maintain record keeping systems and
procedures
- Experience using Microsoft Suite - Office, Excel, Word,
PowerPoint, Access, Teams and Zoom
- Experience working in higher education
- Experience coordinating events
- Experience using Student Information Systems (SIS) and
financial systems, such as; Banner, Oracle and CMS
(Salesforce)
- Experience updating website content in a content management
system (CMS) or similar program
- Knowledge of University of Wyoming graduate education policies
and procedures
- Knowledge of University of Wyoming hiring and financial
procedures and processes
- 5 years progressively responsible work-related experience
