Position Purpose: To coordinate and manage administrative responsibilities for the clinical staff and to coordinate and manage the clinic support team, including the Medical Assistants, Radiologic Technologist and the Appointment Office Customer Service Representatives, ensuring efficient and timely accomplishment of administrative and logistical clinic support functions. To serve as administrative support and project coordinator for the clinical staff and the Clinical Medical Services Director and Associate Director.
Required Qualifications - Education and Yrs Exp: Bachelors plus 2-3 years' experience or equivalent combination of education and experience
Required Qualifications - Skills, Knowledge and Abilities: In-depth knowledge of office management practices and procedures. Excellent interpersonal and communication skills. Ability to interact with others with tact and diplomacy. Strong organizational skills and ability to respond appropriately to pressures, deadlines and frequent changes in priorities and schedules. Initiative, sound judgment and ability to work independently. Highly proficient with computer applications.
Preferred Qualifications: Three plus years of office management experience with a high degree of autonomy.

- Manages and coordinates staff calendars, including regular and per diem clinical staff, support staff, visiting residents and NP/PA mentoring students to ensure appropriate clinic coverage. (20%)
- Manages and adjusts workloads, arranges event scheduling for regular and special meetings, workshops, conferences, establishes departmental deadlines and determines priorities, coordinates day-to-day operations at the Health Service to promote patient well-being and satisfaction. (15%)
- Prepares, updates and administers office systems, policies and procedures. (10%)
- Coordinates regular equipment maintenance and procedure verification, liaison for annual CLIA laboratory testing and compliance, supports state lab representative and Laboratory Manager to ensure laboratory meets state operational standards, reviews procedures, creates new documentation, as required, follow up, as needed. - Coordinates the CME program for the Health Service, including recruiting and arranging speakers, setting up AV equipment, ordering food, maintaining accreditation compliance documentation and managing the annual reporting and reapplication process. (10%)
- Serves as primary support to the Directors of Clinical Medical Services and the Primary Care clinical team representing the department to the institution and external constituencies. (10%)
- Coordinates publicity activities including work in multiple media, such as drafting media, and coordinates department involvement in campus outreach opportunities, liaison with other college departments to facilitate communication and to align programming with student educational needs. (10%)
- Maintains confidential personnel records and files for the department staff, performs and maintains performance review records for the clinic support team, initiates and monitors personnel actions, e.g. timesheets, vacation, personal and sick time, disability leave, accident reports and leaves of absence, performs and maintains performance review records for the clinic support team. (5%)
- Provides administrative support for staff recruitment, including correspondence with candidates and coordinating search committees, coordinates hiring, supervising and training staff to meet changing department needs. (5%)
- Administrative Assistant for the Clinical Medical Services physicians, other clinical staff and the per diem staff, which includes correspondence, coordinating travel, renewing licenses and professional subscriptions, submitting expense reports, and assisting with patient correspondence and independent projects. Back up the Medical Assistant's Office, the Appointment Office, some knowledge of Medical Records systems and support. (5%)
