Job Description
This position provides administrative support to the Program Director, Medical Director, faculty and administrative staff of the Center for Family Medicine in Springfield and the SIU-Springfield Family Medicine Residency Training Program.
Administration Duties
- Answers the main administrative office line and handles routine phone requests or transfers to the appropriate unit.
- Greets patients and guests and assists with requests.
- Keeps department lists and mailboxes up to date.
- Coordinates the interview process for civil service vacancies.
- Assists with Outlook calendars for faculty and staff.
- Assists with the annual faculty evaluation process.
- Prepares print requisitions and maintenance requests.
- Handles collection of donations.
- Assists with shipping needs and receiving packages.
- Trains staff and faculty on office equipment.
- Manages office supply inventory and budget.
- Organizes incoming mail for leadership.
- Creates and distributes faculty meeting agendas.
- Composes faculty meeting minutes.
- Transcribes and manages confidential information.
- Serves as backup for sorting mail.
- Organizes travel arrangements.
- Maintains supply of New Patient folders.
- Maintains meeting room schedules.
- Provides clerical support to Physician's Assistant program.
- Provides administrative support to various training programs.
- Provides backup for Administrative Assistant.
Qualifications
- High school diploma or equivalent.
- Two (2) years (24 months) of work experience comparable to the third level of this series.
