Job Description
- This position is for Office of Integrated Information Technology Services (IITS).
- Software Centralisation:
- Act as a point of contact to handle and respond to software-related enquiries from internal stakeholders, including queries on licensing, usage, and centralisation eligibility.
- Engage internal stakeholders and external software vendors to collect licence usage data and analyse software utilisation, license cost on different scheme, to support management's decision on whether to include the software under the centralisation framework.
- Digital Learning Programme Support:
- Provide administrative and operational support to the Digital Learning Programme by updating, maintaining, and publishing training schedules in the Trumba Calendar System to ensure accurate and timely information for staff and participants.
- Manage event registration and participant communications through the Cvent platform, including event-related notifications and updates.
- To support IT Procurement in the following activities:
- Bridging with Project team members in the creation of Purchase Requisitions for ITQ/ITTs to facilitate sourcing activities and/or POs issuance.
- Solicit information from project team members to prepare tendering documents, coordinate supplier registration and sourcing activities (as required) and create/maintain Contract Management for multi-year contracts in e-Procurement system.
- Support upsurge in IT procurement activities during peak period (e.g. FY closing, blackout periods, etc.).
- Gathering statistics and information from multiple parties to support presentations and reporting to Management (E.g. tracking transaction volumes, cost savings/avoidance, supplier performance, etc.).
- Any other ad-hoc administration duties as assigned.
Qualifications
- Diploma in IT or a related field, with a minimum of 3 years of relevant experience in Procurement and/or IT Helpdesk support.
- Driven fresh graduates with growth mindset are welcome to apply.
- Experience in using Ariba e-Procurement and SAP ERP system (preferred).
- Good time management and able to prioritize work efficiently.
- Meticulous with details, comfortable with handling high volume of transactions during peak period and able to deliver under pressure.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Good project and vendor management skill.
- Excellent interpersonal and communication skills (written and oral).
- Warm and cheerful personality with a proven track record of excellence in customer.
- Team player, result oriented and highly independent.
- Familiar with office equipment (laptops, desktop, printers, copiers).
