Job Description
Budget Title: Senior Staff Assistant (SL-3)
Salary: $57,151
The Operations and Finance Manager will:
- Provide administrative support to the Chair and Program Directors
- Advise Chair, Program Directors and others with respect to university programs/policies
- Assist the Chair with problem solving
- Identify practical ways to improve efficiency
- Oversee financial accounts and assist with budgeting and other financial matters
- Attend meetings with Chair and Assistant and Associate Deans as needed
- Assist Chair with tracking and estimating revenues and expenses
- Prepare budget monthly/compile data from Business Intelligence platform as needed
- Meet with Chair to go over budget as needed
- Keep track of various accounts and manage balance transfers as appropriate
- Oversee tracking of summer/winter enrollments to assist Chair in revenue projections
- Curricular planning, course scheduling and promotion
- Assist Chair and Program Directors with curricular planning and solving related problems
- Prepare curriculum plan files, coordinate with Harpur Dean's office, and attend planning meetings with Chair and Harpur Dean's office
- Attend department meetings, take attendance and detailed notes, create minutes
- Prepare and circulate draft of course schedules and enter in Banner
- Maintain contacts with adjuncts and summer/winter instructors
- Maintain "Course Guide" information to faculty and instructors for editing each semester. Maintain complete listing for future reference
- Edit and submit material for University Catalogue / Bulletin
- Maintain instructor course offering history for each faculty member
- Promotion of Winter and Summer courses
- Coordinate staff responsibilities to ensure uninterrupted operations when staff are absent from work
- Compile statistics, generate departmental reports, and assist with special projects as needed
- Provide administrative support for the graduate and undergraduate programs
- Work under the supervision of chair and the director of graduate studies to monitor graduate student appointments and financial support determined by faculty for purposes of department budgeting
- Assist faculty as a liaison to the Research Foundation for external grant support
- Purchase items as directed on behalf of the department and faculty
- Provide support for department computers and labs
Requirements
- Bachelor's degree (or higher)
- 2+ years of experience in an office administration role, i.e. records management, resource allocation, budget and financial management, maintenance of confidential records, etc.
- Experience with office computer software, i.e. office products, email, online calendar management, database management, etc.
Preferred:
- Accounting training and/or experience
- Computer technical support training and/or experience
