Required Qualifications
Bachelors degree in Business Administration, Human Resources, Finance, or related field. 2-4 years of experience in operations, HR, finance, or administrative coordination. Proficiency with MS Office, HRIS, and financial software; experience with procurement systems is a plus. Excellent organizational, communication, and interpersonal skills. Job Duties
- Collaborate with hiring managers to understand staffing needs and define job requirements
- Draft and post job openings on institutional career portals and relevant sites
- Screen resumes, schedule and coordinate candidate interviews, and maintain communication throughout the hiring process
- Ensure completion of pre-employment screenings, reference checks, and issuance of offer letters.
- Support onboarding by organizing paperwork and ensuring new hire documentation is complete and properly filed
- Payroll and HR Support Address employee inquiries related to payroll and coordinate offsite needs with payroll specialists. Maintain and update employee records in compliance with institutional policies and regulations
- Review purchase requisitions for accuracy and policy compliance
- Track status of orders and coordinate timely delivery
- Maintain procurement records (purchase orders, contracts, vendor info)
- Prepare procurement activity reports and cost analyses
- Manage executive calendars, schedule meetings, and handle confidential correspondence
- Coordinate internal communications, meeting logistics, room reservations, IS tickets, and building access requests
- Act as a liaison between departments, contractors, vendors, and external stakeholders.
- Draft, review, and finalize contracts for speakers and event vendors.
- Coordinate with internal teams (legal, finance, events) to ensure contractual compliance and accuracy
- Communicate with speakers/vendors to collect necessary documents (bios, W-9s, AV needs, etc.).
- Provide administrative support during contract negotiations and assist with post-event reconciliation and invoicing
