P/T Specialist-Academic Records
Job Description:
The Part-Time Academic Records Specialist is responsible for assisting with the organization and management of the transcripts received in the Academic Records Office for BHCC students. This person will review the Start Now spreadsheet for students that have registered to check for any transcripts we have to move them into the workflow for evaluation. This person will also assist in the management of the office transcript received spreadsheet to link any that are ready to be linked and evaluated. This person will also assist with keeping the Transfer Credit Equivalency data updated and current in the SIS system. This person will also assist in responding to emails asking whether transcripts have been received. The role supports the integrity and confidentiality of academic data. Since tasks ebb and flow in the AR Office, other training and tasks will be assigned as needed to assist with efficiency within the AR Office.
This is a hybrid position that allows for the flexibility of an agreed upon remote work schedule, as well as flexibility for full workdays on campus as needed for training sessions and other meetings.
Primary Responsibilities:
- Review the Start Now spreadsheet for students that have registered to check for any transcripts we have and move them into the workflow for evaluation.
- Notify the team which transcripts need priority data entry.
- Assist in the management of the office's transcript received spreadsheet to link any that are ready to be linked and evaluated.
- Scan and link transcripts into PC as a back-up when the Clerk is out.
- Assist with keeping the Transfer Credit Equivalency data updated and current in the SIS system.
- Maintain accurate student records in accordance with institutional and FERPA policies.
- Respond to inquiries from students, faculty, and staff regarding transcripts with professionalism and accuracy.
- Assist with data cleanup projects as needed.
- Maintain confidentiality and adhere to institutional policies and federal regulations regarding student records.
- Perform all other administrative tasks as assigned; participate in relevant conferences and professional development opportunities.
Possible Future Opportunities:
- Enter and update student academic records in the student information system (SIS), Colleague including transfer credit data, program changes, and other changes as directed by the Registrar.
- Assist with processing transcript requests, enrollment verifications, and other student documentation.
Requirements:
- Two years of full-time or equivalent part-time experience in office management, office administration, business administration or business management or an associate's degree in business administration, business management or public administration.
- Proficiency with Microsoft Office Suite, attention to detail, ability to communicate effectively orally and in writing, excellent organizational, interpersonal and customer-service skills.
- Proven ability to work with a diverse faculty, staff and student population.
- Demonstrate an ability to work in a fast-paced environment with ease, be self-motivated and proactive, have critical attention to detail, be able to prioritize and meet deadlines while working on multiple projects, and have creative problem-solving skills.
Preferred Qualifications:
- Previous experience working at a community college.
- Experience with Student Information and data reporting systems (e.g. Colleague, Informer etc.).
Additional Information:
Salary: $29.07 an hour at 18.5 hours a week. Part-Time Non-Benefited position.
