Part-Time Administrative Assistant

Department-Specific Responsibilities
- Serves as the backbone of the Early Childhood Center (ECC), providing essential support that keeps our projects, trainings, and daily operations running smoothly.
- Manages purchasing, travel arrangements, paperwork, scheduling, data entry, video captioning, copies, and training materials while helping maintain an organized and welcoming work environment.
- Attends staff meetings, collaborates with colleagues across projects and across centers at the Institute, and gains an understanding of the Center's mission and impact.
- Coordinates travel arrangements and related documentation for ECC staff, including registrations, lodging, transportation, and reimbursement processes.
- Manages purchasing activities for ECC, ensuring timely procurement of supplies, equipment, and services in accordance with university policies and procedures.
- Creates and processes purchase orders for subcontracts, awards, and other center expenditures; tracks documentation and follows established approval workflows.
- Works closely with IIDC Finance to support the center's financial and administrative operations, including purchasing, payment processing, and budget-related activities.
- Supports staff professional development efforts by organizing, maintaining, and providing access to training resources, materials, and related records.
- Assists with maintaining administrative records, preparing documents, and coordinating routine center communications and activities.
- Identifies opportunities to improve administrative processes and supports implementation of efficient procedures to meet center needs.
- Performs general administrative and operational support duties as assigned to support the mission and activities of the center.
Qualifications
Combinations of related education and experience may be considered. Education beyond the minimum required may be substituted for work experience. Work experience beyond the minimum required may be substituted for education.
EDUCATION
Required
- High school diploma or equivalent (such as HSED or GED)
Preferred
- Bachelor's degree in a related field
WORK EXPERIENCE
Preferred
- 2 years of relevant experience
