Position Summary:
The Administrative Operations Specialist plays a key role in supporting the Office of Risk Management (ORM) at Rice University by coordinating a variety of administrative, operational, and financial activities. Reporting to the Director of Risk Management, this position implements processes and procedures to ensure the efficient and effective functioning of ORM operations in support of the university’s strategic priorities.
Workplace Requirements:
This position is offered as a hybrid or partially remote role, combining both in-office and remote work to provide flexibility and support collaboration. The in-office schedule is typically two days (Wednesday and Thursday) in the office and one to three days remote, with the exact schedule to be determined between the employee and supervisor.
This is a benefit-eligible part-time (20 hours a week) position.
Hourly Hiring Range: $20.64 to $22.00, with hiring salary commensurate with experience and qualifications (20 hours per week)
Minimum Requirements:
- Bachelor’s degree
- 1+ year of related or administrative work experience

- Demonstrated success in follow-through and completing routine tasks
- Advanced organizational skills and attention to detail
- Demonstrated ability to take initiative and ownership of projects; work independently; manage multiple projects in a fast-paced environment
- Excellent interpersonal skills, with a client-service orientation
- Demonstrated written and verbal communication skills
- High level of professionalism, flexibility, confidentiality, discretion, judgment, and diplomacy
- Proven advanced computer skills, including proficiency in Excel, Word, and PowerPoint
Preferences:
- 3 years of related or administrative work experience
- Experience working in higher education
Essential Functions:
- Administers and supports day-to-day administrative and operational activities for the Office of Risk Management
- Provides administrative and project support, including scheduling meetings, managing communications, updating the Risk Management website and coordinating logistics for events and training
- Develops communication and training plans, including presentations, newsletters, brochures, tools, job aids, and instructional materials
- Supports financial operations by tracking invoices, monitoring expenditures, resolving discrepancies, and assisting with budget-related processes
- Coordinates departmental administrative processes, including documentation, reporting, and tracking of key activities and metrics
- Maintains and improves record-keeping systems, ensuring accuracy of departmental documentation, including claims files and certificates of insurance
- Organizes, manages, and completes special projects in support of departmental goals and initiatives
