Position Summary:
As a member of the Office of Sponsored Programs (OSP) team, this position aids CMU faculty and staff by providing post-award support for internally and externally funded research and programmatic projects. This position is responsible for reviewing requests for university grant/contract personnel, independent contracts, and large purchase expenditures using sponsored funds and ensuring the requests are in alignment with external and internal policies, regulations, and applicable laws. This position maintains complex databases to track grant/contract compliance, conducts budget analysis on funded grants/contracts, and provides general administrative support to CMU faculty and staff with awarded contracts/grants.
Required Qualifications:
Post-Award Coordinator:
- Bachelor’s degree.
- Experience with budget analysis.
- Demonstrated ability to build and maintain positive, professional, and interpersonal relationships with those internal to CMU and external stakeholders.
- Demonstrated ability to communicate (written and verbal) clearly and knowledgeably with individuals and groups and maintain confidentiality, where appropriate.
- Ability to plan, establish priorities, and handle multiple tasks and projects.
- Ability to successfully manage and use email, web navigation tools, word processing systems, presentation software, database software, and spreadsheet programs.
- Demonstrated organizational skills and strong attention to detail.
- Ability to assist in the implementation of changes/solutions, and complete projects as assigned.
- Ability to perform the essential functions of the position, with or without reasonable accommodation.
Post-Award Associate:
- All required qualifications of a Post Award Coordinator, plus:
- Three years of relevant, professional experience.
- Experience with budget modifications.
- Advanced computer skills and an increased familiarity with applicable programs, sponsor portals, and CMU systems.
- Demonstrated ability to assist others in prioritizing activities and planning effectively.
- Ability to lead the implementation of changes/solutions and manage/lead projects as assigned.
- Demonstrated ability to navigate cost share requirements, external partners, and complete of common sponsor budget forms.
- Ability to professionally manage conflict, opportunities, and feedback.
- Demonstrated ability to effectively set priorities across multiple projects and set expectations with stakeholders to achieve mutual deadlines.
Preferred Qualifications:
- Master’s degree in a relevant field.
- Previous work experience in research administration and managing grants and contracts for an institute of higher education.
- Certification in Research Administration (CRA, CFRA).
- Experience interpreting funding opportunity guidelines and award restrictions.
- SAP Grant Management experience.
- Previous customer service experience.
- Experience in higher education, particularly working with faculty and academic departments.
Duties & Responsibilities:
Post-Award Coordinator:
- Provides expertise, analysis, and assistance to CMU faculty and staff as it pertains to the management of funds associated with externally and internally funded grants/contracts under direct supervision.
- Maintains several complex databases to track award compliance with internal and external policies, regulations, and procedures.
- Serves as the main Office of Sponsored Programs (OSP) liaison with the Office of Research Compliance on funded awards to ensure all human subject, animal, and biosafety requirements are met in alignment with sponsor and university expectations.
- Follows up with CMU faculty and staff to ensure sponsor compliance restrictions are met (ex: required trainings, financial disclosure submissions, etc.).
- Reviews university grant/contract personnel, independent contracts, and large purchase expenditures against award budgets and sponsor restrictions.
- Guides CMU faculty and staff in navigating administrative items through the university system to ensure efficient processing of forms related to personnel, independent contractors, purchase requisitions, etc.
- Interprets sponsor guidelines and restrictions to determine allowable costs on externally funded grants and contracts.
- Collaborates with CMU faculty and staff to identify expenditure limitations and find reasonable solutions to move externally funded projects forward within sponsor and university regulations.
- Works with CMU faculty and staff to help them understand and complete various forms related to externally funded projects such as personnel transactions.
- Collaborates with departments university-wide to ensure the proper processing of expenditures on externally funded grants and contracts.
- Prepares internal documents and sponsor-specific materials to inform faculty and staff of regulations and internal policies/procedures directly related to newly awarded grants or contracts.
- Documents and develops processes and guidelines for training purposes and continuity of services.
- Coordinates CMU’s Grant Administration Network’s (GAN) quarterly meetings, including recruiting speakers and working with Office of Research and Graduate Studies (ORGS) staff to ensure room set-up, etc.
- Develops CMU’s quarterly GAN newsletter.
- Attends OSP Project Director meetings which inform faculty and staff about requirements and processes impacting the management of newly funded awards.
- Assists with the OSP policy and procedure review and development process.
- Performs other duties as assigned.
Post-Award Associate:
- Performs all duties and responsibilities of the Post-Award Coordinator under limited supervision, plus:
- Performs analyses to assist in the management of externally funded grants and contracts, including providing advice on financial management of personnel effort commitments and other purchases.
- Works with the Assistant Director of Post-Award Sponsored Projects to serve as a liaison between CMU and an external sponsor to best support sponsored project initiatives and maintain positive relationships with outside agencies.
- Develops revised budgets that align with sponsor and university guidelines and support faculty and staff sponsored project initiatives.
- Works with the Assistant Director of Post-Award Sponsored Projects to manage the OSP Project Director meetings.
- Reviews newly awarded, externally funded grants and contracts, developing necessary documents and providing a summary of each award to the Assistant Director of Post-Award Sponsored Projects.
