Job Description
The
College of Veterinary

We are seeking candidates for a
Post-Award Specialist
position to join our centralized research administration team. This
position will enhance compliance, improve operational efficiency,
and provide a valuable shared service across the College of
Veterinary Medicine. A primary area of responsibility for this
position will be to support the Clinical Trials Office in the
Department of Veterinary Medicine and Surgery by providing critical
billing and financial management for clinical trials conducted
through the department and the Veterinary Health Center.
Additionally, incumbents will cross-train on pre-award activities,
providing back-up support and gap coverage for the college’s
dedicated Pre-Award Specialist. This position will have dual
reporting lines to the Associate Dean of Research and Graduate
Studies and the Business and Finance Officer of the college.
Representative duties for this position include, but are not
limited to:
- Post-Award Administration:
- Manage the financial administration of sponsored projects and
clinical trials from award acceptance through project
closeout.
Review award documents and follow project budgets in accordance
with sponsor requirements.
Monitor expenditures for allowability, allocability,
reasonableness, and compliance with sponsor and University
policies.
Reconcile project accounts and investigate budget variances;
process budget revisions, cost transfers, and other post-award
financial transactions.
Clinical Trial Financial Management:
- Develop, maintain, and monitor clinical trial budgets in
coordination with the pre-award specialist.
- Review clinical trial agreements with industry partners to
identify financial obligations and billing requirements as well as
establish billing grids and payment schedules.
- Collaborate with investigators, study teams, and hospital
personnel to ensure appropriate billing and revenue capture and
then subsequently ensure accurate invoicing of trial sponsors for
all billable activities.
- Reconcile clinical trial revenues and expenses to ensure
financial accuracy.
Budget Management and Financial Analysis:
- Provide comprehensive budget oversight for assigned accounts
and research programs.
- Prepare financial reports and budget analyses for faculty,
department leadership, and administrators; project future spending
patterns and identify funding risks.
- Monitor effort distributions and salary allocations charged to
sponsored projects.
- Assist principal investigators in managing available balances
and forecasting expenditures through project end dates.
Pre-Award Coordination and Budget Development:
- Serve as the primary departmental resource for developing
financial components of grant, contract, and clinical trial
budgets.
- Work closely with the College's Pre-Award Specialist throughout
the proposal development and submission process to ensure timely
and accurate budget preparation.
- Review sponsor guidelines, funding opportunity announcements,
and budget requirements to ensure compliance with sponsor and
University policies.
- Assist in evaluating the financial feasibility of proposed
projects and provide recommendations regarding budget structure,
cost recovery, and financial risks.
- Serve as a liaison between faculty investigators, departmental
administration, the Veterinary Health Center, and the College's
Pre-Award Office to ensure a seamless transition from proposal
development to award management.

Shift
Standard business hours, Monday through Friday 8:00am -
5:00pm.
Minimum Qualifications
- Bachelor's degree or an equivalent combination of education and
experience and at least 3 years of experience from which comparable
knowledge and skills can be acquired is necessary
Preferred Qualifications
- Experience in research administration; clinical trial
operation, management and oversight; and/or business management,
budget development, and fiscal processing and analysis in a higher
education, research, or government setting is required.
- Experience in grant award processing, management, and
compliance is strongly preferred.
- Candidates should possess strong communication skills, a high
attention to detail, exceptional organizational skills, and a
collaborative and team-oriented mindset.
- Candidates must be able to be successful working independently
and should be a motivated self-starter.
Anticipated Hiring Range
Salary Range: $65,000 to $70,000 annually
Grade: GGS 010
