Practice Administrator I - Multidisciplinary Services
Position Summary
This position will support the launch of a new multidisciplinary services space opening on the main Boston campus in July 2026. We are hiring now to lead the operational startup of the clinic, establish workflows, and ensure the floor is prepared for go-live.
We are seeking a candidate with experience in a multidisciplinary clinic setting. This position combines strategic leadership with hands-on operational management, overseeing the day-to-day operations of all clinics on the floor while partnering closely with clinical programs to streamline workflows and support the ongoing success of our multidisciplinary Centers of Excellence.
Key responsibilities
- Operational ownership of daily clinic flow across the multidisciplinary clinic space
- Oversight of room utilization, patient throughput, and capacity maximization within allotted exam rooms
- Epic template optimization for single-encounter, multidisciplinary visits
- Serve as the central administrative point of contact for all providers and programs on the clinic floor
- Collaborates with HR, Department Administrator and physician/nurse leaders, and manages human resources effectively through efficient staffing, coaching and development of staff, and setting and maintaining high work standards. Delegates authority, responsibility and work appropriately among subordinates or subordinate work units.
- Collaborates with Hospital Compliance, physician and nurse leaders, to manage compliance with government regulations and third party payor requirements.
- Acts as administrative liaison between the department/program and hospital departments which may include, ISD, Facilities, Marketing, outside vendors and contractors. Serves as the principle liaison to any other hospital on joint matters and shared programs. Serves on hospital task forces and committees, as appropriate
- Real-time troubleshooting of rooming, scheduling, staffing, and operational issues
- Administrative leadership and supervision of front desk staff
- Standardization of workflows, expectations, and best practices across programs
- Strategic and system-level operational support for Centers of Excellence Support for new program launches and growth initiatives
- Quality improvement initiatives focused on access, efficiency, and patient flow
- Budgeting support, volume forecasting, utilization monitoring, and performance reporting
- Participates and/or provides administrative support to Chiefs and nurse leaders in the development and ongoing improvement of disease-specific clinical outcome metrics.
- Collaborates with Hospital personnel and Departmental faculty, to plan and implement the strategic vision for the clinical components of the department's mission.
Minimum qualifications
Education
- Bachelor's degree with 5 years of experience OR Master's degree with 3 years of experience.
Experience
- Knowledge and skills necessary to solve complex problems in the areas of clinical/research operations, business planning, financial management, marketing, personnel and information systems management.
- Ability to effectively manage the employees within assigned unit/department and to influence and negotiate with peer level managers on issues and programs that impact assigned unit/department.
- Effectively dealing with conflicting views or issues and mediating fair and workable solutions.
Schedule
Monday-Friday, hybrid-eligible after 6 months.
