Practice Office Manager - Neurology
Position Summary
The Practice Manager is a key leader responsible for overseeing the clinical and administrative operations of our busy, community-based neurology clinic. This hands-on role ensures efficient daily workflows, exceptional patient care, and a positive team culture. The Practice Manager will collaborate closely with clinical and administrative leaders to drive quality improvement, operational excellence, and sustainable growth in alignment with departmental and university standards.
Job Description
Primary Duties & Responsibilities:
- Manage all aspects of day-to-day clinical and administrative operations, ensuring the safe and effective continuation of care.
- Continuously evaluate and optimize patient flow, office operations, and resource utilization to drive efficiency and cost-effectiveness.
- Lead quality improvement initiatives by collecting, measuring, and interpreting operational and clinical data; develop and implement solutions in collaboration with multidisciplinary teams.
- Address and resolve issues or complaints from staff, providers, patients, and referring offices with professionalism and empathy.
- Oversee annual budget planning, financial performance, and cost center management; approve supply purchases and educational requests for clinicians and staff.
- Develop and monitor evidence-based performance and quality improvement processes.
- Ensure compliance and effectiveness of scheduling, registration, billing, and clinical support services per university and department of neurology standards.
- Support strategic planning and growth initiatives for clinical services in partnership with clinic leadership and the neurology business office.
- Lead and manage staff recruitment, onboarding, competency development, performance evaluations, and ongoing professional growth.
- Ensure all staff licensure and certifications are current and appropriately documented per university and job requirements.
- Promote cost containment through effective inventory and resource management.
- Oversee the maintenance and coordination of clinic spaces, equipment, and supplies.
- Champion patient safety by reinforcing and educating on safety-related policies and procedures.
- Maintain compliance with all university and departmental policies, and provide reports and analyses as required.
- Foster a supportive, collaborative team environment by regularly working alongside staff in the various roles to model best practices and ensure sustainable operations.
Direct Clinical Care:
- Provide hands-on support as needed, including registration, scheduling, patient intake (vitals, rooming, medication review), assisting with office-based procedures per certification, administrative duties (phone calls, paperwork, insurance authorizations), and more.
