You are able and willing to work on-campus in Hanover, NH during program sessions, with hybrid flexibility outside of peak program dates.

What about daily life?
Work with instructors, residential staff, and student mentors to coordinate everything from class schedules and orientation to field trips and end-of-program celebrations. Manage communications with enrolled students and families. Track enrollment data, support hiring, and help build the systems and resources that keep our programs running year after year. Required Qualifications - Skills, Knowledge and Abilities

• Bachelor’s degree or equivalent combination of education and experience in a relevant discipline (higher education administration, student affairs, education, or related field).
• Experience in program coordination or administration, preferably in a higher education, summer academic, or youth-serving environment, with demonstrable ability to manage multiple priorities simultaneously.
• Familiarity with tools and systems used in academic program management, including: student information or enrollment management systems; communication platforms (e.g., email marketing, family-facing portals); and productivity software (e.g., Microsoft Office Suite, Google Workspace).
• Proficient in data tracking and reporting (e.g., enrollment metrics, budget monitoring, program evaluations); experience creating clear, professional communications and program materials for diverse audiences.
• Knowledge of best practices in youth program administration, academic support services, and student safety protocols.
• Ability to work successfully in a hybrid and/or on-campus (Hanover, NH) environment, including evenings and weekends during program sessions.
• Superior ability to engage in positive, professional interactions with students, families, faculty, and staff across the Dartmouth community.
• Knowledge of effective task and project management practices, including experience developing and maintaining operational documentation and resources.
• Excellent written and verbal communication skills with a keen ability to work both collaboratively and independently.
• Commitment to diversity and to serving the needs of a diverse population of students and families.

Preferred Qualifications

• Experience working in a university or college setting, particularly with Precollege, continuing education, or enrollment management programs.
• Familiarity with Dartmouth’s campus, resources, student services, and institutional culture.
• Experience delivering or supporting instructor/faculty training or onboarding.
• Experience with CRM or enrollment management platforms (e.g., Salesforce).
• Demonstrated ability to analyze and visualize enrollment or program data to support decision-making.
• Experience managing vendor relationships, event logistics, or residential program operations.
• Comfort with website content management and basic social media administration.
• Prior experience supervising or mentoring student staff, teaching assistants, or program volunteers.

Key Accountabilities

Program Operations and Coordination - (50%)

• Plans, organizes, and executes day-to-day operations across Dartmouth’s on-campus and online Precollege programs, ensuring a seamless experience for students, families, and instructors.
• Manages concurrent program workflows across the annual calendar, from enrollment and hiring to orientation, instruction, and closeout.
• Coordinates logistics for all program activities including class schedules, housing check-in, orientation workshops, field trips, and co-curricular events.
• Serves as a primary point of contact for enrolled students and families, providing timely, professional communication around schedules, policies, and resources.
• Supports academic accommodations and student safety in collaboration with residential staff, mentors, and campus partners.
• Manages purchases, expenses, reimbursements, and vendor billing, including end-of-program reconciliation with Conferences & Events.

Enrollment, Data, and Communications - (25%)

• Compiles and distributes weekly enrollment and sales data to program leadership.
• Monitors program inboxes and maintains accurate student records and program documentation throughout the year.
• Contributes to marketing and outreach efforts including website updates, social media content, and promotional materials during the sales season.
• Tracks progress toward enrollment goals and surface insights to inform program planning and decision-making.

Instructor and Staff Support - (15%)

• Coordinates the full instructor hiring process once course minimums are met, including offer letters, background checks, and Code of Conduct completion.
• Hires and onboards undergraduate teaching assistants; collect syllabi and coordinate course materials each spring.
• Prepares materials for orientation workshops.
• Supports instructors with ongoing classroom and co-curricular needs throughout the program.

Program Development and Continuous Improvement - (10%)

• Designs and maintains a comprehensive knowledge base documenting all program functions, serving as a central resource for staff and faculty continuity.
• Revises and updates the Instructor Handbook annually.
• Gathers participant and instructor feedback and contribute to program assessment and evaluation.
• Identifies opportunities to improve operational processes, incorporating emerging best practices in Precollege and youth program administration.
