Responsibilities
Briefing Folders: Analyze individual meetings and events and prepare summaries and supplemental information to prepare President Morales to attend. Research and analyze highly confidential and sensitive information regarding students, staff, faculty and off-campus stakeholders requesting meetings with President Morales. Analyze compensation data, prepare and present summary reports to be used in the meet and confer process and negotiations of collective bargaining agreements. Research and summarize historical and performance data such as grant performance, individual biographies, and non-profit information including purpose and performance, governing board associations, and 990 filings. Work with other divisions to collect relevant information and analyze information to ensure completeness. View information that may affect collective bargaining unit positions and negotiations. Be privy to, and consistently utilize sensitive and highly confidential data related to collective bargaining activities/grievance processing. Such information would include, but is not limited to data used in collective bargaining and other related activities; and may process and administer information contained in case files for PERB unfair labor practice cases, and contract grievance arbitration cases.
Scheduling and Coordinating Meetings and Events: Negotiate and schedule highly confidential meetings with internal and external stakeholders based on priorities established by the President, Chief of Staff, Deputy Chief of Staff, or by independent analysis and judgement of high priority or sensitive situations. This position is regularly involved in communications that may affect collective bargaining, unit positions, and negotiations. Analyze and adjust meeting participants to ensure appropriate management and staff representation. Independently determine and coordinate needs for meetings and events including location, hospitality, invitations, technical needs, RSVPs, and guest accommodations such as parking and escorts. Independently analyze events coordinated by others and work with organizers to ensure logistics are appropriate for the Presidential appearance and well-coordinated.
Maintaining the President's and Chief of Staff's Calendars: Maintain the President's and Chief of Staff's calendars and make adjustments as needed based on changing priorities or emerging situations. Coordinate coverage for events and meetings with Vice Presidents when President Morales cannot attend and provide supporting documentation. Analyze short- and long-term patterns to proactively manage high activity seasons, travel, and the President and Chief of Staff leadership priorities.
Administrative Support: Administrative support to the President, Chief of Staff, and Deputy Chief of Staff as needed. Arrange telephone calls for President Morales with internal and external stakeholders that are often highly confidential and sensitive in nature. Take notes at meetings and is privy to conversations and information that may affect collective bargaining unit positions and negotiations.
General Administrative Duties: Provide customer service to callers and visitors not related to position, provide instruction to Student Assistants, respond to requests, maintain paper and electronic records, and varied administrative tasks.

Minimum Qualifications: Required Education and Experience
Completion of a high school program or equivalent.
Equivalent to three years of administrative support experience.

Preferred Qualifications
Bachelor's degree from an accredited university in a related field.
Five years of experience in an administrative role, preferably within a higher education or a similar complex organizational environment.
Strong analytical skills that reflect ability to identify information needed in a variety of situations.
License / Certification:
Valid CA driver's license and insurance.
Compensation and Benefits:
Anticipated Hiring Range: minimum $3,844 - maximum $4,750 monthly.
The salary offered will take into account internal equity and experience among other factors.
The CSU system provides a comprehensive benefit package that includes medical, dental and vision plans, membership in the California Public Employees Retirement System (CalPERS), sick and vacation time, and 15 paid holidays a year. Position Information:
Full-time/Non-Exempt/Probationary
Academic year schedule: Monday through Friday (8:00 am - 5:00 pm), some evenings/weekends.
Summer schedule: Monday through Thursday (7:00 am - 5:30 pm), some evenings/weekends.
