This position supports performances, exhibitions, and events presented by the Wexner Center and campus or external partners. The role works collaboratively with production staff and other departments to ensure accurate information sharing, timely correspondence, and smooth day-to-day operations. The position may also support Company Management needs for visiting artists, as assigned.
This is a part-time role, combining administrative work with on-site support during events and peak production periods. Evening and weekend availability may be required based on event schedules, with increased on-site engagement during busier seasons.
Key Responsibilities
- Assist the Director of Production and Technical Services with coordination and execution of live events, including organizing and sharing technical, logistical, scheduling, and staffing information among stakeholders
- Provide administrative support for the production team, including schedules, settlements, calendars, and event documentation
- Track project details and support monitoring of production timelines
- Support communication between programming, production, finance, and external partners
- Maintain shared systems and tools for scheduling and project tracking, identifying opportunities to improve processes
- Provide support for visiting artists and Company Management needs as assigned
- Participate in event preparation and provide on-site support during performances and programs as needed
- Attend production and departmental meetings and assist with general team needs
Supervision
- May assist with coordinating event staff or stagehands on a limited, as-needed basis
Minimum Education Required
- Bachelor’s degree in Arts Administration, Theatre, Production Management, or related field, or an equivalent combination of education and experience
Qualifications Required
- Bachelor’s degree or equivalent experience, with 2–3 years of relevant experience in production coordination, event support, or administrative roles
- Experience supporting live events or complex projects, including scheduling and logistics coordination
- Strong organizational skills and attention to detail, with the ability to manage multiple assignments
- Ability to maintain accurate records and support project tracking
- Effective communication and interpersonal skills, with the ability to collaborate across teams
- Reliable, responsive, and able to manage assigned tasks with appropriate guidance
- Problem-solving skills and adaptability in fast-paced event environments
- Proficiency in Microsoft Office (including Excel) and familiarity with shared calendars or scheduling tools
Desired
- Experience in an artistic, academic, or presenting organization
- Familiarity with project management or scheduling platforms
- Exposure to production workflows or live event environments
- Experience supporting or working alongside union or over hire labor
- Experience or interest in Company Management support for visiting artists
- Experience with Momentus, Asana, Arts Vision, and inventory tracking software packages
- Interest in improving systems and workflows

The target hiring range for this job profile is $23.35 - $27.88 The actual salary paid to an individual will vary based on multiple factors, including but not limited to, education, years of experience, internal equity, etc.
