Responsibilities
The Program and Procurement Specialist provides administrative, procurement, and operational support to ensure effective and compliant management of Sponsored Programs and Title III. This role focuses on inventory tracking, tagging, and reconciliation of assets valued at $5,000 or more, as well as assisting with day-to-day operations within the GSPAR office. The Specialist serves as a liaison between program staff, procurement, and asset management departments to ensure federal and institutional guidelines are met. This position is a grant funded position and reports to the Director of Government Sponsored Programs and Research.
Key Responsibilities:
Procurement & Purchasing Support
- Assist in the preparation, submission, and tracking of procurement requests for Sponsored Programs and Title III programs in compliance with institutional, state, and federal guidelines.
- Ensure proper documentation and adherence to procurement timelines.
Inventory & Asset Management
- Maintain a centralized inventory system for all Title III-funded equipment and supplies.
- Tag and track all assets purchased with Title III funds that are valued at $5,000 or more, in compliance with Uniform Guidance (2 CFR Part 200) and institutional asset management policies.
- Conduct periodic physical inventory checks and reconcile discrepancies.
- Assist in preparing reports for internal audits and federal compliance reviews.
Program Administration
- Provide general administrative and operational support for Title III activities.
- Assist in the preparation and organization of materials for meetings, trainings, and workshops.
- Support documentation, data entry, and filing related to Title III compliance and reporting.
- Coordinate scheduling, logistics, and communications between Title III staff and campus stakeholders.
Compliance & Reporting
- Ensure procurement and inventory activities align with EDGAR, Uniform Guidance, and institutional policies.
- Maintain accurate records and documentation for audit and monitoring purposes.
- Assist with the preparation of internal and external reports, including inventory reports and budget summaries.
Qualifications
- Associate’s degree in Business Administration, Procurement, or related field; Bachelor’s preferred.
- Minimum of 2 years of experience in procurement, inventory, or administrative support.
- Knowledge of federal grant compliance requirements (e.g., EDGAR, 2 CFR Part 200) is a plus.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook) and database or inventory systems.
- Strong organizational skills and attention to detail.
- Ability to manage multiple tasks and meet deadlines.
- Excellent communication and interpersonal skills.
