Program Associate for Theological Education
Position Summary
The Program Assistant for the Department of Theological Education provides essential administrative, operational, and project coordination support for courses, webinars, certificate pathways, and public programs. Working in close partnership with the Director, Assistant Director, department staff, faculty, and external partners, this role ensures that theological education initiatives move from planning to execution with clarity, consistency, and strong organizational support.
Essential Functions
- Using project management software, coordinate multiple, overlapping planning processes for courses, webinars, in-person events, certificate pathways, and other theological education initiatives
- Manage partner correspondence for courses, webinars, fellowships, cohorts, book talks, and other theological education programming
- Create and maintain organized Google Drive course folders for all programs
- Populate course sites and maintain course materials across LMS platforms
- Prepare Run of Show documents for webinars, colloquia, book talks, and in-person events
- Archive recordings and upload materials to the institutional repositories
- Fulfill the administrative needs of the theological education department, including departmental scheduling, note-taking at group meetings, facilitating contracts and payments, routine faculty and partner correspondence, and documentation workflows
- Liaise between the theological education and communications teams to support program promotion
- Manage live virtual event execution, including Zoom operations, tech checks, recordings, captioning, and related event logistics
Qualifications
- Bachelor’s degree required; graduate coursework or degree in theology, religious studies, education, nonprofit administration, or related field preferred
- Minimum 3 years of experience in academic operations, program administration, event production, or nonprofit systems coordination
- Experience managing multiple concurrent workflows and deadlines across diverse stakeholder groups
- Proficiency with project management systems such as Asana, LMS platforms, Zoom, Google Drive, and documentation tools
- Familiarity with contract processing, W-9 collection, honoraria, and finance coordination
- Experience supporting public-facing educational programming in virtual and in-person settings
