Major Duties
Under general supervision of the Director for the Office of Equity and Compliance (OEC), this position is responsible for conducting a full range of moderate to complex, specialized administrative assignments involving the use of sound judgment and discretion on a daily basis in support of the Director as well as investigators. These duties include providing guidance on CSU policies related to discrimination, harassment, retaliation and sexual misconduct, conducting intakes of allegations of concerns, providing supportive measures and case management. These responsibilities involve having access to confidential information, including grievance responses and preparing, drafting, and processing data, reports, and correspondence relative to investigations.
Intakes/Supportive Measures:
- Conducts intakes of concerns brought by staff, faculty, students, and third parties regarding discrimination, harassment and retaliation, including sexual misconduct reports.
- Triages and conducts preliminary assessment, assignment, and tracking of reports of alleged discrimination and harassment. Prepares initial Notice of Investigation for review by Office leadership.
- Assists with supportive measures, including the provision of campus support resources and referrals to community resources; coordinates interpreting services, assists with accessibility requests; issues no-contact directives and reports violations; assists with academic accommodations; housing accommodations; work accommodations; and manages a caseload of students who require ongoing support with pregnancy and parenting accommodations. Will assume responsibility of the more routine cases.
Case Management:
- Tracks status of cases, including data entry, to ensure timeline compliance with CSU Nondiscrimination Policy and works with campus investigators to respond timely. Gathers, manages, and maintains sensitive data including reports, resolutions, outcomes, supportive measures, and education/outreach. Ensures all case details are documented in case management system. Sends and tracks outreach to reporters, complainants, and respondents.
- As requested by Director, drafts referral letters, memoranda, notices, and related correspondence to all constituencies and reviews, redacts, and prepares file documents for distribution to party requests, as well as external agency requests, such as EEOC, DFEH, and OCR.
OEC Administrative Support:
- Serves as OEC's first point of contact for the campus community. Fields and assesses inquiries from the entire CSUN population of nearly 44,000 students, staff and faculty. Responds to reports in a timely manner, enforces duty to report, conducts initial assessment for mandated reporting (Clery and CANRA), and need for immediate implementation of supportive measures.
- Fields and assesses inquiries regarding general information about university policies and procedures pertaining to complaints of discrimination, harassment, and retaliation on the basis of protected status pursuant to CSU Nondiscrimination Policy, Collective Bargaining Agreements (particularly the California Faculty Association CBA), Title II ADA, Title VI, Title VII, Title IX and other related statutes and regulations. Develop a knowledge base in civil rights law including Title IX, Title VI, Title VII, affirmative action, and equal opportunity laws and regulations.
- Also, fields inquiries regarding investigation appeals policies and procedures, equal employment opportunity, disability accommodations, diversity and inclusion matters, and case status updates. Applies knowledge of University and CSU policies and procedures in responding to inquiries and conducting research.
- Acts as confidential support to the Director and investigators. Handles calendars, schedules meetings, interviews, and events. Monitors general OEC email inbox, responds and forwards correspondence to the appropriate OEC staff member.
- Prepares reports, communications, and other materials as requested by Office leadership. Assists in maintaining a highly organized office and workspace to enable efficient processing of all responsibilities and duties.
Hearings:
- Coordinates with stakeholders to schedule and conduct hearings pursuant to state and federal regulations. Tracks deadlines. Facilitates the resolution of all concerns throughout the hearing process. Maintains confidentiality and sensitivity relative to inquiries and cases and schedules interviews with parties and witnesses. Manages OEC Hearings email inbox.
- Prepares all materials for hearings and ensures that case documentation is available to stakeholders in a manner compliant with state and federal regulations. Drafts and issues all Hearing Notices. Ensures exhibits are available to be presented to the Hearing Officer during the proceedings.
- Manages the hearing proceedings, assists the Hearing Officer with all process and scheduling matters. Resolves all technical issues, provides any supportive measures needed to parties or witnesses to facilitate their participation.
- Ensures that the post-hearing process is compliant with the sanctioning and appeals processes as outlined in the Nondiscrimination policy for Track 1 and Track 2 cases. Issues the Hearing Officer's Final Decision Report to the parties, drafts all Notices of Appellate Rights and tracks the appeal process. Provides additional supportive measures to the parties after the conclusion of the hearing if needed. Processes Hearing Officer Invoices.
- Performs other duties as assigned.

Qualifications
- Equivalent to graduation from a four-year college or university with a Bachelor's degree.
- Two years relevant administrative work experience
Knowledge, Skills, & Abilities
- Ability to work well with all levels of administration
- Commitment and ability to thrive in a diverse community and promote/advance university-wide equity and inclusion efforts
- Knowledge of higher education environment and issues preferred.
- Demonstrated organizational abilities and experience managing complex situations, records, data, and reports
- Proficient in Microsoft Office applications
- Knowledge of civil rights laws, in particular Title IX, Title VI, and Title VII
- Demonstrated ability to communicate effectively both verbally and in writing with individuals of varied professional, educational, and experiential levels within a multi-faceted organization
- Experience responding to reports of discrimination and harassment
- Experience in data management and office management
Pay, Benefits, & Work Schedule

- Classification: 1176 / Confidential Administrative Support/ Grade 2
- The anticipated HIRING RANGE is $6250 - $7000 per month, dependent on qualifications and experience. The salary range for this classification is: $4687 - $11,223 per month.
- HOURS: Full Time; 40 hours per week; Monday through Friday. May include evenings and weekends.
- This is a Regular position with a two-year probationary period.
- The position is currently hybrid (3 days in office, 2 days remote); however, this is subject to change based on student and/or operational needs.
