Responsibilities
This position supports the Institute of Molecular Biophysics (IMB) through graduate student support of the Molecular Biophysics Doctoral Program (MOB), postdoctoral associates for IMB, and Human Resources and travel support for IMB program.
Manages graduate recruitment and admissions process. Coordinates admission reviews and issues offer letters for the MOB program. Manages student entry into MOB program, faculty exposure, student rotation schedules, and program of studies. Works with students, Major Professors, and MOB Director to ensure students are performing rotations and have identified appropriate research groups for pursuit of PhD studies. Tracks student completion of milestones to ensure all university deadlines are met. Interacts with students to identify opportunities for graduate fellowship applications. Works with student and postdoctoral scholars on submission of fellowship applications. Works with the MOB Director to strategically select courses that meet MOB students' educational plans of graduate studies and develop professional training opportunities for MOB students and IMB postdoctoral scholars. Coordinates regularly with participating departments across campus because of the interdisciplinary nature of the MOB program. Leads planning for orientations, graduation ceremonies, student events, and academic symposiums. Generates promotional materials, social media, recruiting meetings, and developing connections for faculty to present at smaller southeast feeder programs. Processes tuition waivers and ensures health insurance compliance for MOB students.
Serves as the HR representative for MOB program students and IMB postdoctoral scholars. Processes personnel actions including recruiting, hiring, appointment paperwork, reappointments, terminations, funding/appointment changes/updates etc. and any associated paperwork. Oversees annual performance evaluations. Tracks, monitors, and follows up with HR transactions until completion. Verifies graduate assistantship eligibility. Responsible for graduate assistant appointment and re-appointment letters. Responsible for processing and maintaining I-9s and Compliance Screening. Maintains departmental tracking spreadsheets to ensure all HR, appointment, payroll, visa and Compliance Screening information is accurate and up-to-date. Acts as liaison with central offices involving visa documents and appointments, coordinating as required to ensure timely and accurate processing of applications/paperwork and screenings for international employees. Assists in monitoring active appointment reports and payroll cost center reports on a bi-weekly basis and investigates any discrepancies. Completes corrections as needed. Serves as backup HR representative for IMB program faculty and staff. Serves as backup departmental time and leave coordinator.
Serves as travel representative for the MOB program organizing travel for students, including visiting students, and Postdoctoral Scholars. Processes and expedites travel paperwork and ensures compliance with departmental and University travel rules and regulations, including timely submission of travel requests and expense reimbursements. Verifies that expenditures are allowable, allocable, and reasonable based on funding source. May serve as a Travel Card (T-card) holder. Communicates with travelers regarding necessary documentation and processing steps. Assists with travel for IMB speakers in the seminar program. Serves as backup purchasing representative. Creates requisitions, Purchase Orders (PO's), ePRFs, etc. in OMNI and SpearMart. May onboard new vendors into PaymentWorks. Receives purchase orders in OMNI and monitors payment of invoices to ensure compliance with the University Prompt Payment Policy. Monitors and processes departmental transactions and speaker honorarium payments. Responsible for accounts payable to ensure State and University compliance. May serves as a Purchasing (P-card) holder.
Qualifications
A Bachelor's degree and two years of experience; or a high school diploma or equivalent and six years of experience. (Note: a combination of post high school education and experience equal to six years.)

Anticipated Salary Range
Anticipated starting salary for the position is in the mid $40Ks.
