CONTEXT OF THE JOB:

The University of Delaware’s Division of Professional and Continuing Studies (UD PCS) partners with academic colleges and external organizations to deliver a wide range of credit and noncredit programs—including professional certificates, short courses, customized training, and lifelong learning opportunities. These programs are offered in person and online, serving regional, national, and international audiences.

As part of a financially self-supporting unit, UD PCS designs and delivers customized noncredit learning solutions that align with the training and workforce development needs of businesses, government agencies, and nonprofits.

Reporting to the Director of Noncredit Programs, the Program Coordinator manages the full training cycle of customized learning programs—from drafting proposals and supporting contract execution to program development, delivery, and training evaluation. Working closely with the Manager of Customized Learning, who leads business development, this role ensures a smooth transition from client acquisition to program launch.

The Program Coordinator collaborates with subject matter experts (SMEs), UD faculty, internal teams, and external vendors to deliver high-quality, client-focused, and financially sustainable programs. Responsibilities include managing all logistics—such as communication, scheduling, materials, venue coordination, technology setup, and post-program evaluation.

Relationship management is a key part of this role. The Program Coordinator builds and maintains strong client partnerships, supports successful program outcomes, and helps uncover opportunities for continued engagement through upselling and cross-selling.

MAJOR RESPONSIBILITIES:

  • Collaborate with the Director and Manager of Customized Learning to develop, deliver, and assess high-quality noncredit customized learning programs for private and public sector clients at the regional, national, and international levels. Program topics may include healthcare, business, leadership, marketing, communication, and related fields.
  • Coordinate the full program lifecycle post-contract, including needs assessment, content development, logistics coordination, delivery, and evaluation of learning outcomes.
  • Cultivate and maintain strong relationships with current clients to support retention, satisfaction, and expansion of training opportunities through upselling and cross-selling.
  • Collaborate with internal and external faculty, instructors, and subject matter experts to design and implement new programs; assist in recruiting, screening, and onboarding instructional talent.
  • Prepare and administer training proposals, contracts, and program budgets; monitor program accounts, billing, and expenses; ensure financial reconciliation and compliance with university policies.
  • Generate periodic financial and program performance reports for internal tracking and decision-making.
  • Coordinate with the Graduate College Communications team to develop and implement marketing plans for customized learning programs and initiatives.
  • Represent UD PCS at conferences, networking events, and community or industry fairs to promote programs and foster client relationships.
  • Oversee administrative processes including Letters of Agreement (LOA), Memoranda of Understanding (MOU), supplemental pay forms, purchase orders, journal vouchers, and other standard university forms.
  • Negotiate and maintain contracts with external vendors such as assessment providers, freelance instructors, facilities, catering, and other service providers.
  • Participate in internal committees, cross-functional teams, and other collaborative efforts to support PCS goals.
  • Engage in ongoing professional development to stay current with trends in adult learning and workforce development.
  • Perform other job-related duties as assigned.

QUALIFICATIONS:

Bachelor’s degree in Business, Marketing, Education, or a related field and three years of relevant experience, or an equivalent combination of education and experience. Master’s degree preferred.

Strong communication and interpersonal skills, with the ability to build trust and maintain long-term relationships with clients and stakeholders.

Experience applying a consultative approach to identify client needs and recommend tailored learning solutions, including the ability to upsell and cross-sell within existing accounts.

Effective problem-solving skills and the ability to coordinate multiple projects simultaneously with strong organizational and time management skills.

Comfortable working independently in a self-directed, entrepreneurial environment.

Proficient in Microsoft Office Suite, Google Workspace, and virtual meeting platforms such as Zoom and Microsoft Teams.

Experience with online learning management systems (LMS), such as Canvas, and survey tools like Qualtrics is highly preferred.

Ability to learn and integrate technology tools into daily workflow.

Experience working with multicultural and multigenerational audiences.

Experience in adult and continuing education, preferably in a postsecondary or corporate training setting.

Special Requirements:

Flexibility to work occasional non-traditional hours, including early mornings or evenings, based on client or training needs.

Ability to travel regionally, with occasional domestic or international travel as required.

Must have access to reliable transportation for travel to client sites and program locations.

Ability to lift and transport program materials or equipment up to 35 lbs unassisted.
