Job Summary
The University of North Georgia is currently accepting applications for a Program Coordinator of Military Science, on the Dahlonega Campus. This position is responsible to the Professor of Military Science for the overall administrative functioning of the Military Science Department. Manages requirements of the office and Cadet requirements for University and Army. Responsible for Cadet record accuracy for a 700+ person Corps of Cadets.
Responsibilities
- Commissioning Management (Fall, Spring, Summer) - Oversees full commissioning process for 2LTs, including preparation of commissioning packets (DA 71, Memorandum of Appointment, discharge orders), CCIMM uploads, Banner updates (COMM 1180), Degree Works verification, conditional checks, IPPS-A coordination, DA 31 preparation upon receipt of orders, and mailing of packets.
- Special Populations Oversight (ECP & Camp Cadre 2LTs) - Manages ECP accessions and monthly counseling requirements; prepares additional packets for 2LTs performing Camp Cadre prior to BOLC.
- Distinguished Military Student (DMS) & DMG Processing - Generates DMS/DMG lists, prepares certificates, and verifies eligibility through Banner and CCIMM.
- Senior Military Leadership Administrative Support - Serves as primary administrative POC for the PMS/COL, manages schedule coordination, supports major events (Commissioning, Boar's Head, Military Spouse Social), and works daily with cadre to ensure mission execution.
- Cadet Academic & Commissioning Eligibility Tracking - Monitors contracted cadets from junior year through graduation, tracking grades, UA, AFCT, commissioning physicals, MILS/PME completion, and graduation verification with the Registrar.
- Accessions Processing (Active Duty, ARNG, USAR, Ed Delay) - Executes year-round accession actions in CCIMM and ensures accuracy of component assignments.
- Contracting & Medical File Management - Prepares and maintains contracting packets, medical documentation, 104R approvals, dependency/address updates, and uploads required documents in CCIMM.
- Cadet Record Management & Filing - Sole manager of all contracted and non-contracted cadet files (hard copy and CCIMM), including withdrawals, returns, document uploads, and retention file maintenance.
- Probation & Suspension Processing - Coordinates probation/suspension actions, prepares formal notification letters, processes 131R documentation, schedules cadets with PMS, and updates systems accordingly (Fall and Spring).
- Cadet Record Review (CRB) Execution - Conducts October and February CRBs for the Corps of Cadets, including 139R preparation, file pulls, documentation updates, and compliance tracking.
- Completion Cadet & PME Scrub Processing ¿ Manages completion status updates, MS VI counseling reports, stipend termination, and PME requirement verification in CCIMM.
- Semester Academic Reporting ¿ Posts semester grades for the entire Corps into CCIMM, updates academic classifications, runs transcript audits, and ensures MILS 270/330 compliance (minimum hours and enrollment requirements).
Knowledge, Skills, & Abilities
- Knowledge of Microsoft Office, Excel, Power Point, Outlook and other related programs.
- Knowledge of Banner preferred.
- Knowledge of Defense Travel System and Army Regulations preferred.
- Must be committed to integrity and professionalism.
- Must maintain confidentiality.
- Strong computer skills; oral and written communication skills; excellent interpersonal and teamwork skills with a variety of constituents including all levels of Military, University, students and parents
- Ability to multi-task, solve problems and meet deadlines.
Required Qualifications
- Bachelor's degree
- Three years of program experience in Military environment.
Preferred Qualifications
- Prefer individual with experience in working with ROTC/college students
Proposed Salary
- The proposed salary is: $24.50-$26.95 hour.
