Salary Range: Up to $41,500 - $50,000/Annualized, commensurate with education, experience and qualifications.

Hours: 40 hours per week, exempt.

Job Summary

Program Coordinator

The Program Coordinator supports the coordination of programs or projects operation, exercise independent judgment and authority as required.

Senior Program Coordinator

The Senior Program Coordinator works to perform advanced program administration, development, and coordination. This role is responsible for all phases of program development and coordination of program activities.

Core Responsibilities

Program Coordinator

  1. Responsible for assigned phases of programs, which may include budget decisions, program selection, staff supervision, future planning, and innovation.
  2. Proposes, evaluates and coordinates the implementation of programs.
  3. Researches new program ideas, and proposes program design, which may include grant development and submission.
  4. Plans, schedules, and coordinates activities in assigned programs and projects.
  5. Ensures program needs are met through resource planning, tracking, and management. Resources include talent, supplies, and facilities.
  6. Produces and distributes program materials.
  7. Coordinates marketing and communication activities for the program.
  8. Evaluates program activities and makes recommendations for changes and enhancements.
  9. Makes recommendations to ensure the program evolves as necessary to continue to serve the mission.
  10. Maintains tracking and reporting systems to monitor program/ participant progress and results.
  11. Provides data and progress/status reporting as necessary for program sponsors and other university personnel.
  12. Creates reports to reflect student progress and program levels, and assists in the creation and maintenance of internal controls to protect student confidentiality and program reporting.
  13. Interacts with university departments, special groups, and external agencies to coordinate resources and communicate/market programs.
  14. Promotes an environment of safety and protection by immediately reporting unsafe situations, spills, and accidents; following University safety plans/procedures/protocols; and participating in appropriate safety training.
  15. Performs other duties as assigned.

Senior Program Coordinator

  1. Administers, coordinates and participates in assigned programs or projects, including budgeting, scheduling, marketing, training, and evaluating programs.
  2. Develops and implements standards for attaining program goals and objectives.
  3. Maintains frequent interaction with departments, special groups, and external agencies in administering programs.
  4. Facilitates the development of new partnerships for various programs.
  5. Evaluates and reports on program results.
  6. Recommends new policies and procedures for improvement of program activities.
  7. Coordinates staff training and development.
  8. Determines work priorities.
  9. Works on special projects as assigned.
  10. Participates in professional seminars and meetings.
  11. Performs other duties as assigned.

Required Qualifications

Program Coordinator

  • Bachelor's degree in a related field from an accredited institution.
  • Two (2) years of experience working with students and/or other groups to plan and coordinate activities and programs.
  • This position requires the ability to maintain the security and integrity of UTSA and its infrastructure.

Senior Program Coordinator

  • Bachelor's degree from an accredited institution.
  • Five (5) years of professional experience in program administration or coordination.
  • This position requires the ability to maintain the security and integrity of UTSA and its infrastructure.

Preferred Qualifications

Senior Program Coordinator

  • Master's degree from an accredited institution.
  • Experience in program development.

Knowledge, Skills, and Abilities

Program Coordinator

  • Knowledge of all standard office equipment.
  • Proficient in Microsoft Office Suite.

Senior Program Coordinator

  • Ability to interact professionally with faculty, staff, students, and the public.
  • Excellent verbal and written communication skills.
  • Independent decision-making and problem-solving ability.

Additional Information

  • UTSA is a tobacco free campus.

  • Valid driver's license and Motor Vehicle Record (MVR) as applicable.

Working Conditions

  • Office environment.
  • Ability to travel to and from meetings, training sessions, or other business-related events.
  • Occasional after-hours and weekend work or overtime may be required.

Physical Demands

  • Sedentary work; sitting most of the time. Jobs are sedentary if walking and standing are required, only occasionally.
  • Exerts up to 10 lbs. of force occasionally.

This position will be primarily located on campus. Travel and parking expenses are the employee's responsibility.
