Program & Events Assistant, Companions Program
Position Overview:
We are seeking a dedicated and dynamic individual to serve as the Program & Events Assistant for a newly created intergenerational, lifelong learning initiative rooted in the Jesuit tradition. Boston College Companions: Fellows for Leadership and Service is designed to guide accomplished professionals (Fellows) through purpose exploration, discernment practices, and spiritual growth. The ideal candidate will support day-to day-functioning of the program collaborating closely with the leadership of the program and support cohort members throughout the various components of the program.
Responsibilities:
- Provide program and administrative support critical to the day-to-day functioning of the program through engaging with Fellows, faculty, staff, and students.
- Collaborate closely with the Directors ensuring the various program pieces for the Fellows are implemented effectively. Duties will vary from day to day.
- Responsibilities include managing inquiries and phone calls; assisting Fellows with navigating on-campus resources; communicating program schedule with Fellows and internal / external constituents; coordinating evaluation of speakers and various programs; and serving as the liaison for vendors, managing and reconciling purchasing cards and credit cards.
- Help to ensure a smooth onboarding process, including maintaining list of resources for housing options.
- Learn and support the use of Canvas (e-learning platform) by the Directors and Fellows.
- Plan and support events for the program (ie: dinners and presentations). Provide oversight of all event logistical support for program activities.
- Help plan logistics of retreat and pilgrimage.
- Maintain database (Slate, which is a CRM used for enrollment management) of Fellows, faculty, administrators, and speakers. Track participation.
- Help create and manage weekly social media for program and weekly newsletter for Fellows.
- Exercise independent judgment and identify and employ best practices to maintain a smooth and efficient departmental workflow while interacting with Fellows, faculty, staff, students, and multiple University partners and departments.
- Work with and help manage work flow of student employees (graduate assistants and work study students).
- Maintain flexibility to complete other job-related assigned duties required by leadership of the program given the entrepreneurial approach to the program.
- Work some nights and weekends.
This is an in-office position.
Hiring Range: $24.12/hr to $30.14/hr. Pay rate commensurate with relevant experience.
Requirements
- Bachelor's degree preferred.
- Minimum one year of office and events support experience.
- Must have a high degree of self-motivation, a professional attitude, strong problem-solving orientation, exercise sound judgment, and ability to work autonomously and part of a team. Ability to prioritize and multi-task. A readiness to assist Fellows accurately and congenially.
- Excellent computer skills, i.e., Microsoft Office, Google Docs / applications. In addition, demonstrated capacity to implement new technologies to improve efficiencies within a newly created program.
- Exceptional interpersonal, customer service, written and oral communication skills.
- Ability to proofread.
- Integrity to handle sensitive and confidential information.
