Description
Manages the day-to-day operations of a small or medium-sized university program or department. May supervise staff employees, student workers, programs or processes.
- Plans and develops procedures for administering a small or medium-sized department or program.
- Oversees program expenditures and ensures adherence to budget.
- Provides guidance to subordinate staff and evaluates performance.
- May prepare or participate in the creation of abstracts, research reports, funding proposals, operations and procedure manuals, and other written material and documentation.
- Reviews reports of budgets and activities.
- Prepares ad hoc reports as needed.
- May administer grants and grant-related related communications, scholarships and other operations.
- Develops, implements and maintains appropriate policies and procedures.
- May serve as property custodian for the department.
- Performs other job-related duties as assigned.

- Facilitate communication of program evaluation with project evaluator by sharing program data with external evaluator
- Track budget/spending on grants in real-time
- Can create flyers and manage online applications for student program participants
- Keep student database and track student progress
- Plan and execute the annual or on-site virtual site visit for the Activity Manager
- Plan and execute annual External Advisory Council meetings
- Lead the development of the Milestone chart
- Lead the development of the semi-annual report to include:
- Activities performed during the period
- Planned activities to be performed next period
- Objective and/or strategy changes
- Budget expenditures during the period as compared to the total budget
- Demographic makeup of program participants during that period
- Lead the development of the annual progress report
- Work with the engineering communications office to get the websites for the grant set up
- Execute Contracts with advisory board members, contractors, etc.
- P-CARD eligible for project purchasing
- Able to execute Concur travel
- Making travel arrangements for seminar and guest presenters
- Support proposal writing
- Other items as requested
Experience will be considered in lieu of education.
Education will be considered in lieu of experience.
Minimum Qualifications (MQ)
Education: Requires a thorough understanding of both theoretical and practical aspects of an analytical, technical or professional discipline; or the basic knowledge of more than one professional discipline. Knowledge of the discipline is normally obtained through a formal, directly job-related 4 year degree from a college or university or an equivalent in-depth specialized training program that is directly related to the type of work being performed.
