Essential Job Duties: The University Program Manager at the Genetics and Genomics Academy (GGA) plays a pivotal role in driving strategic initiatives, program development, and administrative oversight within a university-wide effort focused on genetics and genomics education, research, and outreach. Reporting directly to the Executive Director, the Program Manager collaborates closely with students, faculty, staff, and external stakeholders to advance the GGA mission. This position will have complete oversight of the program while still reporting to the Director who will provide strategic, long-term objectives. Functions of the program will fall directly under the purview of the Program Manager.

The Program Manager for the GGA will report to the Executive Director and be responsible for executing the GGA mission through a range of projects that achieve its objectives. The Program Manager will be an integral part of the GGA Executive Committee and will have primary responsibility for programmatic development and office administration at the GGA and through its collaborative interdisciplinary projects. This will include providing administrative support for the Executive Director and GGA committees as well as managing the organization of GGA undergraduate and graduate programs including courses, seminars, retreats, workshops, and symposia. This individual will oversee graduate student recruiting and administration of graduate fellowships. The Program Manager will be responsible for office administration tasks such as email management and response, scheduling, course administration, electronic and physical file management, purchasing, travel, and logistics including, but not limited to, data analyses, project reports, budget management, and human resource management for the Academy. The person in this position will work in coordination with other staff throughout the university, such as the Provost office, Graduate School, Office of Research and Innovation, Office of Information Technology, University Development, and various college, department, and program offices. For example, this individual will work across the university to help develop, coordinate and implement new interdisciplinary research and educational efforts (such as programs focused on solutions for antimicrobial resistance).

By connecting the people who share and support the GGA mission, values, and goals, the GGA Program Manager will help the University sustain its excellence in research, teaching, and scholarship and facilitate the impact of the GGA on local, regional, and national partners. The Program Manager will develop creative strategies to convey sensitive and complex research information and serve as a key resource for knowledge of program services and the design of material/content related to the promotion of the GGA.

Specific Responsibilities:

  • (50%) Program Administration
    • Complete oversight of the program functions
    • Serve as a key thought partner to the Executive Director, contributing to long-range strategic planning and independently translating strategic goals into actionable plans.
    • Event planning and organization: Spearhead all logistical and operational components of GGA events, including high-profile symposia, retreats, and national seminars, with minimal supervision.
    • Work with GGA Executive Director and GGA Communication Specialist to organize large events (e.g. Annual Retreat and special events)
    • Work with GGA Executive Director and other university units to develop, coordinate and implement new interdisciplinary research and educational efforts (for example, programs focused on solutions for antimicrobial resistance).
    • Organize travel/lodging for GGA seminar speakers
    • Graduate student recruitment: Lead graduate student recruitment efforts end-to-end, including application review, candidate selection, and organizing on-campus events, with final decisions presented for approval by the Executive Director.
    • Undergraduate and graduate course administration: Oversee and manage new course paperwork; organize and process payments to instructors
    • Graduate student fellowships and special awards/grants administration: Organize payments to awardees
    • Undergraduate research awards: Organize payments to awardees
    • Provide end of year reports for GGA programs and projects: Independently develop comprehensive annual reports and impact analyses for review by the Executive Committee, leveraging data to guide continuous improvement and strategic refinement.
    • Develop and deliver annual reports for review by the GGA Executive Director and Executive Committee
    • Oversee and collaborate with the Communication Specialist in developing and delivering GGA communications. Develop creative strategies to convey sensitive and complex research information and serve as a key resource for knowledge of program services and the design of material/content related to the promotion of the GGA.
    • Direct and oversee strategic communications, guiding the Communications Specialist and developing high-impact content for internal and external audiences.
    • Develop and execute communication strategies to effectively translate complex research concepts to varied stakeholders including students, faculty, donors, and industry partners.
  • (30%) Project Management
    • Development and management of multiple projects including project reports: Independently manage the full lifecycle of complex, interdisciplinary projects-from conception and funding strategy through execution and post-project reporting; Drive new initiatives by identifying institutional gaps and leading the design, proposal, and implementation of innovative research and training programs.
    • Grant proposal development and administration: Independently identify and seek out relevant funding opportunities and present those to the GGA Executive Director and the Office of Research; Proactively source, write, and manage complex grant proposals and donor funding opportunities with minimal oversight, ensuring alignment with GGA goals; Lead grant administration post-award, including reporting and compliance, serving as the institutional lead on behalf of the GGA for funding agencies and partners; Write and revise grant proposals focused on research, graduate student training, undergraduate education and outreach; Serve an administrative role for managing new grants (as appropriate)
    • Development efforts and administration: Independently identify and seek out relevant funding opportunities from foundations and donors and present those to the GGA Executive Director and the Office of Research; Write and revise interdisciplinary projects and proposals focused on research, graduate student training, undergraduate education and outreach; Serve an administrative role for managing new projects (as appropriate)
    • Collaborative work with other units in the OUIP to coordinate synergistic activities
  • (10%) Budget maintenance and forecasting
    • Track annual budgets and present strategies to GGA Executive Director; Create budget projects and present those to the GGA Executive Director; In collaboration with the Provost Office Finance Team manage budgets and financial forecasts, developing funding models and presenting recommendations directly to the Executive Director.
  • (10%) Representing the GGA at university meetings, seminars, and symposia
    • Attend university events as a GGA representative
    • Attend OUIP meetings when the GGA Executive Director is not available
    • Represent the GGA at university-wide leadership meetings, making strategic decisions and advocating for GGA interests when the Executive Director is unavailable.
    • Build and maintain relationships with key university offices (e.g., Graduate School, Provost, Development, IT) to drive institutional support for GGA programs.
  • Other Work/Responsibilities: Other duties as assigned.
  • Minimum Experience/Education: Bachelor's degree and three years of experience in genetics, genomics, or related field, of which at least one is supervisory or in a lead-worker capacity; or an equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
  • Required Qualifications: Technical and administrative skills: Proficiency with Microsoft Word, PowerPoint, Excel, or similar software; Ability to use Gmail and Google applications; Experience with budgeting and expense tracking; Ability to develop metrics to measure growth, collect data, communicate results, and adjust plans accordingly. Specialized skills: Experience serving as an administrative assistant or comparable experience; Effective use of project management and team communication tools; Experience with project and program management and evaluation; Experience developing, running and evaluating programs with large implementation teams and participants from many arenas. General skills: Excellent written and oral communications skills, including proofreading; Strong interpersonal skills; Excellent organizational skills; Keen attention to detail; Ability to work independently and as a team player; Ability to interface with a wide variety of staff, students, faculty and external partners; Creative problem solving; Skills and ability to maintain a positive and optimistic attitude and professional demeanor. Physical skills: This individual will be responsible for attending events and transporting necessary materials to events; Ability to lift up to 30 pounds while setting-up special events or other occasions, with reasonable accommodation as needed.
  • Preferred Qualifications: Master's degree and 5+ years of experience related to the area of genetics, genomics, or related field; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions. One or more years of experience in a similar office environment, preferably with a higher education or nonprofit group.
