Project Management Coordinator, Pediatric Infectious Disease

Job Summary

The Division of Pediatrics Infectious Disease Research is seeking a Project Management Coordinator. The primary role of this position is to provide streamlined administrative support to faculty members and their laboratories.

Department-Specific Responsibilities

  • Coordinates daily operational activities for the division.
  • Supports research and project initiatives by preparing documentation and facilitating effective communication among stakeholders.
  • Maintains and updates divisional content on the IUSM website.
  • Coordinates and executes special events, including guest lectures, seminars, and collaborative meetings.
  • Provides administrative and operational support to faculty, staff, students, international trainees, and postdoctoral fellows.
  • Assists with project coordination, including resource allocation, scheduling, and team communication.
  • Develops and manages project timelines to ensure key milestones and deadlines are met; monitors progress and addresses complex issues as they arise.
  • Ensures adherence to established project frameworks and maintains accurate, organized documentation for all initiatives.
  • Drafts and edits correspondence; processes invoices; and maintains tracking tools such as spreadsheets and reports.
  • Performs a wide range of administrative duties in support of research faculty and project operations.

General Responsibilities

  • Provides experienced assistance with project management activities, resource allocation, and communication.
  • Develops a schedule designed to meet necessary deadlines and communicates with team members.
  • Monitors project progress and handles highly complex issues that arise.
  • Ensures projects adhere to frameworks and all documentation is maintained appropriately for each project.
  • Allocates tasks and assignments to lower-level appointed staff and monitors their performance.
  • Performs a variety of administrative skills and prepares correspondence related to the project.
