About the Opportunity
Job Summary
The Brain Game Center for Mental Fitness and Well-being (BGC) seeks to hire a Project Manager to help streamline processes for developing, validating, documenting, and sharing software aimed at better measuring and training cognitive processes. The Project Manager is responsible for coordinating all phases of multiple project lifecycles - from software development, testing, and validation through dissemination - while ensuring steady progress toward scientific aims and grant-funded milestones.
This is a highly collaborative position that requires close partnership with research, administrative, and technical teams, as well as external collaborators. The Project Manager serves as the central hub of coordination and is expected to develop a comprehensive understanding of all active initiatives, anticipate project needs, define and organize next steps, and ensure that each project continues to advance efficiently and on schedule. This includes coordinating with BGC leadership, the software development team, research coordinators, students, postdocs, and outside collaborators. The ideal candidate will have significant experience with project management, including software development, as well as strong communication, technical writing, and organizational skills, and familiarity with project management toolsets.
Key Responsibilities & Accountabilities:
1. Project Coordination & Oversight
- Coordinate and monitor all phases of multiple research project lifecycles, ensuring alignment with grant-funded milestones
- Maintain a comprehensive understanding of each active project and serve as the central point of coordination
- Identify next steps, track progress, and ensure timely execution across teams
2. Team Collaboration & Communication
- Facilitate communication among PIs, researchers, programmers, technicians, and administrative staff
- Lead regular project meetings, document decisions and action items, and ensure all stakeholders have the information and resources needed to advance their work
3. Timeline, Milestone & Resource Management
- Develop and maintain project timelines, roadmaps, and milestone trackers
- Coordinate personnel and other resources across projects, identify risks or delays, and adjust plans or escalate issues as needed
- Systematically track decisions, deliverables, and action items; proactively follow up with working group members and external collaborators to ensure progress, accountability, and timely completion of tasks
4. Documentation & Process Development
- Create, organize, and maintain project documentation (e.g., agendas, notes, draft products, reference documents), workflows, and standard operating procedures to support efficient execution and knowledge sharing
- Support continuous improvement of project management processes within the lab
5. Coordination with Outside Stakeholders
- Serve as the primary contact for stakeholders including research teams at other institutions, funding bodies, research participants, community members, and other project-relevant stakeholders
- Support dissemination of project-related resources, typically research software or data
- Ensure project materials are documented clearly for diverse stakeholder audiences
- Ensure the project website remains up to date
- Provide technical support and coordinate interactions with relevant members of the project team
Minimum Qualifications
- Three to five years of project management experience
- Strong technical skills and experience with software production processes
- Strong organizational, multitasking, and analytical skills with the ability to coordinate across disciplines
- Experience managing multiple, complex academic or scientific projects, ideally within a grant-funded environment
