Job SummaryThe Student Records Specialist serves as a key member of the Records & Registration team and is responsible for providing exceptional customer service while supporting the administration of student records and registration processes. This position serves as the primary point of contact for registration-related activities, including course registration, adds, drops, withdrawals, course schedule maintenance, and grading support. The role is responsible for maintaining the accuracy, integrity, and confidentiality of student records and demographic data, while ensuring compliance with institutional policies and deadlines. Additionally, the Student Records Specialist collaborates with faculty, staff, and students to provide guidance and support related to academic records, registration services, and student information. This position also provides backup support for student record changes, immunization record maintenance, transcript services, graduation functions, and other departmental operations to ensure efficient and effective service delivery.

Essential Job FunctionsStudent Registration and Records Processing:- Process student registration transactions, including course registrations, adds, drops, and withdrawals.
Maintain the accuracy and integrity of student academic records.Assist with grading processes and record updates.Ensure compliance with institutional policies and academic deadlines.Customer Service and Student Support:- Serve as the primary customer service representative for the Records & Registration Office.
- Respond to inquiries from students, faculty, staff, and visitors via phone, email, and in-person interactions.
- Provide guidance regarding registration procedures, academic records, and university policies.
- Direct inquiries to appropriate offices or personnel as needed.
Student Data Maintenance and Records Administration:- Process updates to student demographic information, including names, addresses, phone numbers, dates of birth, and other personal data.
- Maintain confidentiality and accuracy of student records.
- Assist with the management of student documentation and record retention.
Academic Scheduling and Faculty Support:- Assist with the development and maintenance of the course schedule.
- Support faculty during grading periods and registration cycles.
- Collaborate with academic departments and administrative offices to meet scheduling and reporting deadlines.
Compliance and Specialized Records Management:- Provide backup support for processing changes to majors, minors, and concentrations.
- Assist with the maintenance of immunization records and related student compliance requirements.
- Process and verify required student documentation in accordance with university policies.
Minimum and Desired QualificationsMinimum Qualifications:- High School diploma or equivalent.
- Minimum of two (2) years of customer service and computer work experience, preferably in an office setting, call center or help desk.
- Demonstrated experience in computer applications, including data entry and the Microsoft Office Suite, specifically Outlook and Excel.
Desired Qualifications:- Associate's degree in business administration, office administration or higher education administration or a related field.
- Two or more years of experience working in a higher education environment, preferably in Records and Registration, Admissions, Student Services or a related administrative office.
- Experience managing multiple priorities while maintaining a high level of accuracy and meeting established deadlines.

Physical Requirements: Although this position is primarily sedentary and involves sitting for extended periods, it occasionally requires movement within office spaces, including accessing storage areas, closets, and filing cabinets. The position may also require occasional lifting, carrying, or transporting boxes, files, and office equipment weighing up to 20 pounds, including placing or retrieving items from shelves or storage locations approximately 3 to 4 feet above the ground.
Job Conditions: Work is primarily performed in a professional office environment with frequent use of standard office equipment.
