Required Qualifications

  • Bachelor’s Degree from an accredited institution.
  • Minimum of three to five years of progressive experience in academic records and registration services within a higher education setting.
  • Demonstrated supervisory experience, including staff development and team leadership.
  • Proficiency with student information systems (preferably Ellucian Colleague) and web-based registration tools.
  • Strong knowledge of FERPA and other relevant regulations governing academic records.
  • Excellent organizational, analytical, and communication skills.
  • Availability to work a flexible schedule as needed.

Preferred Qualifications

  • Master’s Degree in Higher Education Administration, Student Affairs, or a related field.
  • Five to seven years of experience in registrar leadership roles at the community college or university level.
  • Experience managing large-scale registration and records operations during periods of institutional transformation or improvement.
  • Familiarity with data reporting tools and federal/state compliance requirements (e.g., Clearinghouse, Gainful Employment).
  • Demonstrated experience leading office modernization efforts and improving student-facing processes.
  • Collaborative leadership style with the ability to build trust across institutional units.

Job Summary

The Registrar provides strategic and operational leadership for all functions related to student academic records, registration, grading, course scheduling, and degree conferral. This role is responsible for ensuring the accuracy, integrity, and security of student records while facilitating the efficient use of technology to support institutional goals. The Registrar plays a key role in improving student experiences, streamlining internal processes, ensuring regulatory compliance, and advancing the college’s mission of equitable access and student success.

Specific Job Duties

Leadership & Team Management

  • Lead and supervise Records and Registration staff, providing training, evaluation, and ongoing professional development.
  • Establish office priorities aligned with institutional goals and ensure consistent service delivery across all functions.
  • Foster a culture of collaboration, continuous improvement, and customer service.

Academic Records & Registration

  • Direct all registration cycles, withdrawals, transcript processing, and degree audits.
  • Ensure accurate and timely collection, storage, and maintenance of all student academic records.
  • Oversee the graduation application and certification process, including conferral and diploma distribution.
  • Monitor and implement academic policies related to records and registration.

Technology & Systems

  • Serve as the business process owner for the student records module of the student information system (SIS).
  • Partner with Information Technology and Institutional Research to ensure system integrity and optimize processes.
  • Lead efforts to evaluate and adopt new technologies that enhance registration, transcript, and scheduling processes.

Reporting & Compliance

  • Prepare enrollment reports and fulfill data requests for internal use, external reporting, and accreditation.
  • Ensure compliance with FERPA, IPEDS, Clearinghouse, Gainful Employment, and related regulatory requirements.
  • Coordinate responses to audits and serve as point of contact for record-related reviews.

Curriculum, Catalog, and Scheduling

  • Coordinate the publication of the academic catalog in collaboration with Institutional Effectiveness and Academic Planning.
  • Oversee the input and validation of course scheduling data for fall, spring, and summer terms.
  • Ensure alignment of schedule data with program requirements and student needs.

Collaboration & Institutional Engagement

  • Serve on relevant institutional committees and cross-functional teams.
  • Maintain open communication and shared problem-solving with faculty, advisors, and academic departments.
  • Support institutional initiatives related to student success, retention, and academic policy implementation.

Other Responsibilities

  • Stay current with best practices, emerging trends, and regulatory changes in higher education registration and records management.
  • Perform other duties and special projects as assigned.

Salary Range
$80-95k annually with an excellent benefits package
