The Registrar's Office supports the academic mission of the
university by ensuring the integrity, accuracy, and accessibility
of student academic records and processes. The office administers
and coordinates core academic services in alignment with
institutional policies, regulatory requirements, and the needs of
students, faculty, and staff, enabling effective academic
operations across the university.
Registrar Services Specialists maintain process and audit workflows
and perform a variety of coordinating functions within the Office
of the Registrar that support the University's mission. A primary
function of our office is supporting student success by creating,
maintaining, and preserving accurate student records.
Registrar Services Specialists are also responsible for providing
effective customer service to students, departments, and other
university stakeholders. This involves prompt and accurate
responses to in-person, email, or phone inquiries and requests, and
providing training on records, registration, grading, and
curriculum issues, and other duties as assigned.
Registrar Services Specialist:
What you will do:
In general, Registrar Services Specialists process forms
(electronic and paper) and fulfill requests for information. This
position will focus on processing records items such as:
- Transcript requests (single transcript requests and batch
requests)
- Data validation and cleanup on records including but not
limited to:
Demographic information
Academic information, including grades and enrollment
FERPA holds and releases
Residency status
Determining residency classification based on student-submitted
information from emails, uploaded documents in OnBase, and on
paper.
Assist with graduation services to include, but not be limited
to graduation checkout processes, degree audit coding or
maintenance, and support for planner and scheduler
technologies.
Provide support to students for diploma and diploma cover
provisioning
Gathering required documentation, including but not limited to:
- Special Action Forms
- Change of Record Forms
- Late Withdrawal Petitions
- Intercampus Enrollment
- Inter-institutional Enrollment Schedule Adjustments
- Special Processing Forms
- Intra-University Transfers
- Pass/Fail Requests
- Enrollment Verifications
- Other secure uploads in the OnBase system
Providing options and guidance to students when documentation,
requests, petitions, or appeals cannot be approved.
Completing compliance processes for State Authorization and
licensure programs.
Answering emails received in the main Registrar's Office email
boxes.
Assisting Lynx Central with processing questions.
Providing outstanding customer service to students, staff, and
faculty.
Other duties as assigned.
Qualifications you already possess (Minimum
Qualifications)
Applicants must meet minimum qualifications at the time of
hire.
- A bachelor's degree in education, psychology, business, public
administration, health care, educational technology, social
science, liberal arts, communications, accounting, finance, library
science, or a related field from an accredited institution.
Substitution: A combination of education and related
technical/paraprofessional experience may be substituted for the
bachelor's degree on a year for year basis.
Preferred Qualification to possess (Preferred
Qualifications)
- Experience working in an office setting.
- Experience working in higher education.
- Experience with databases and data entry
- Customer service experience that includes either internal or
external constituents
Knowledge, Skills, and Abilities
- Ability to communicate effectively, both in writing and
orally.
- Ability to establish and maintain effective working
relationships with employees at all levels throughout the
institution.
- Demonstrate a commitment to providing outstanding customer
service skills.
- Demonstrate an understanding of access and engagement with a
commitment to developing equitable practices.
Conditions of Employment
- Occasional work during the evening and/or weekends may be
required. The Registrar's Office supports the Commencement Ceremony
on Saturdays two times per year.
- This position follows a hybrid work structure where employees
can work remotely or from the office, as needed, based on demands
of specific tasks or personal work preferences. Working from the
office is encouraged when working on tasks that require a high
degree of collaboration.
Mental, Physical, and/or Environmental Requirements
- The ability to sit for extended periods, stand and walk
occasionally, reach with hands and arms, use hands to manipulate a
keyboard and mouse, and have good near vision for computer
work; often requiring minimal lifting, but may involve bending or
reaching to retrieve items from shelves or drawers.

Compensation and Benefits
The salary range (or hiring range) for this position has been
established at $44,133 - $45,952.
The salary of the finalist(s) selected for this role will be set
based on a variety of factors, including but not limited to,
internal equity, experience, education, specialty and training.The
above salary range (or hiring range) represents the University's
good faith and reasonable estimate of the range of possible
compensation at the time of posting. This position is/is not
eligible for overtime compensation. Your total compensation goes
beyond the number on your paycheck. The University of Colorado
