Research Administrator Senior/Intermediate
Pre-Award / Proposal Development & Submission
- Proactively identify external funding opportunities and advise faculty on proposal planning and competitiveness.
- Assist faculty with completion of sponsor and institutional proposal documents for initial submission, including collection of required materials from PIs, Co-Is, and subcontract/subrecipient sites.
- Prepare and review budgets and budget justifications of varying complexity for academic and research projects and programs.
- Coordinate timely routing of proposals through the institutional approval process in a deadline-driven environment.
- Serve as authorized signer for electronic proposals as applicable; submit proposals and troubleshoot submission issues.
- Ensure institutional review/sign-off is completed and confirm all proposal changes are accurately incorporated prior to submission.
- Support creation and updating of biosketches and other required support documents (pre- and post-submission).
Post-Award / Financial Management, Subawards & Reporting
- Monitor day-to-day budgets and oversee invoice processing for sponsored awards; track spending to ensure alignment with approved budgets and sponsor restrictions.
- Interpret and apply sponsor/program regulations, terms and conditions, and spending guidelines across multiple funding mechanisms.
- Develop, negotiate, issue, and maintain subcontracts/subawards under prime awards.
- Assist with progress reports and other required deliverables for existing awards.
Strategic Advising & Stakeholder Communication
- Advise faculty and leadership on long-term financial viability and planning for the department/center’s sponsored portfolio, considering overlapping awards and differing end dates.
- Maintain effective communication and coordination with internal stakeholders and central offices (e.g., Department/Division leadership, Medical School, ORSP/Sponsored Programs) regarding issues, compliance needs, and new forms, processes, or procedures.
Compliance
- Ensure compliance with sponsor requirements, institutional policies, and applicable regulations throughout the award lifecycle.
Qualifications
Research Administrator Senior: Bachelor degree and 5 + years of progressive grant and contract experience or equivalent combination of education and experience.
Research Administrator Intermediate: Bachelor's degree with 3-5 years of progressive grant, finance and contract experience or equivalent combination of education and experience.
Both: Experience with eResearch, Business Objects, M-Reports, and M-Pathways. Preferred candidates will have exposure to a wide variety of sponsors including National Institutes of Health (NIH), Department of Defense, Foundations, industry contracts, and clinical trials and will have specific experience with the NIH salary and other NIH specific spending, effort reduction, and budget restrictions.
