Job Summary

The Research Group Coordinator provides specialized, high-level administrative support to faculty and research teams within Human Evolutionary Biology, managing financial transactions, operational coordination, and compliance tasks to support complex global research activities. Serving as the primary administrative liaison, this role significantly reduces the administrative burden on faculty, enabling a stronger focus on teaching and research. The coordinator operates independently, handling various responsibilities including financial processing, vendor management, and international field research logistics.

Job Specific Responsibilities:

  • 20% - Serves as principal administrative contact for faculty, researchers, and students on daily activities including business operations, purchasing, shipping, compliance, and electronic document organizing. Provides information on University policies and procedures.
  • 20% - Provides general administrative assistance such as travel, conference registration, reimbursements, event planning including lab retreats and seminars, and negotiates with vendors as needed.
  • 20% - Uses Harvard financial systems to process transactions like purchasing supplies, reimbursements, invoice payments, and manages activities for internal and external vendors.
  • 10% - Supports lab functions including material transfers, equipment inventory, asset tagging, and lab safety concerns.
  • 10% - Coordinates scheduling and logistics for meetings, visitors, tours, appointments, and travel.
  • 10% - Participates in team meetings, provides back-up to other labs, and handles related duties as assigned.
  • 5% - Reviews PI Dashboard, maintains financial documentation, provides research and analysis, and makes decisions on expenditures within a defined budget.
  • 5% - Prepares appointments for incoming lab members, including visa paperwork, onboarding, and liaising for access.

Working Conditions:

Work is typically performed in a shared office space with some hybrid flexibility as directed by FAS.

Physical Requirements:

Must be able to lift 25 lbs.

Qualifications

Basic Qualifications:

5 years of related experience.

Additional Qualifications and Skills:

The ideal candidate embodies a growth mindset and is energized by collaboration. Preferred: Experience in academic or research organizations, exceptional customer service, excellent communication and organizational skills, ability to work independently, strong attention to detail, and proficiency in software like Microsoft Office and Zoom.

Additional Information

Standard hours: 35 per week. No visa sponsorship. Work format: Hybrid with remote options in specified states.
