Job Description:
Provides comprehensive administrative support to assigned academic departments (e.g., Psychology, AHPS), serving faculty, adjuncts, staff, and students. Operates under the general supervision of the Department Chair with significant independence in managing inquiries, facilitating departmental operations, and ensuring efficient communication between students, faculty, and college offices.
Key Responsibilities
Department & Student Support
- Act as primary contact for inquiries from students, faculty, parents, and college departments.
- Assess student needs, provide guidance on advisement and registration, and resolve concerns related to academic policies.
- Process course registrations, prerequisite overrides, academic overload requests, and maintain compliance with academic standards.
Faculty & Adjunct Support
- Manages department chairs' calendars, scheduling meetings.
- Assist new faculty and adjuncts with onboarding, system access, HR procedures, and departmental protocols.
- Track full-time and adjunct deadlines for observations, evaluations, promotions, and seniority; maintain teaching history records.
- Prepare and distribute faculty schedules, office hours, and departmental handbooks.
- Support the Anthropology Lab and the summer Anthropology course (including rental of a portable restroom) and assist with any additional duties related to the lab.
- Support the Psychology Resource Center with faculty scheduling, supply needs, basic housekeeping, and other logistics as needed.
Course & Schedule Management
- Maintain master schedule and department templates and Banner entries; track due dates and schedule changes.
- Input any schedule changes through Workflow as needed.
- Coordinate course sign-up communications based on departmental order.
- Enter faculty teaching assignments, monitor workload and release time, and compile enrollment data.
- Track College Now courses and enter faculty liaison assignments.
- Ensure timely submission and posting of Course Information Sheets (CIS) and syllabi; verify use of correct templates and updated course information.
Meetings & Events
- Schedule and organize department meetings, interviews, and events; prepare agendas and take and edit minutes for distribution.
- Coordinate logistics for departmental functions, workshops, and recognition ceremonies.
Administrative & Policy Oversight
- Provide accurate information on college and departmental policies.
- Organize and maintain departmental records, confidential files, and faculty lists.
Budget & Purchasing
- Input and track annual budget data, ensuring availability of professional development funds; reconcile expenditures using Banner queries and purchasing records.
- Support faculty with travel and professional development requests and documentation.
- Generate and process requisitions, purchase orders, and reimbursement paperwork; manage inventory of office and classroom supplies.
Technology & Systems
- Utilize Microsoft Office Suite and college systems (Banner, Degree Works, ePrint, Argos) for reporting and communication.
Other Duties
- Maintain office operations, schedule equipment service, and perform additional tasks as assigned.

Requirements:
Required Qualifications:
Must currently hold the civil service title of Secretary II or be on the current eligible list for this title, OR meet the following minimum qualifications to be eligible for a provisional appointment, if offered:
+ Graduation from high school or possession of an equivalency diploma, plus EITHER:
- (A) Graduation with an Associate's degree; OR,
- (B) Successful completion of at least thirty (30) college semester credit hours, plus one (1) year paid full-time or its part-time equivalent office clerical or secretarial experience*; OR,
- (C) Two (2) years paid full-time or its part-time equivalent experience as defined in (B) above.
Preferred Qualifications:
- Bilingual and able to read, write, and speak Spanish, or other languages, proficiently
Additional Information:
Job Type: Full time, permanent
Hours: 8:45 am to 4:45pm, Monday through Friday
Salary: $40,991.65 annually. Eligible for an increment increase after 6 months of service.
Pay Transparency Disclaimer: The posted salary range represents the full salary scale for this position, which includes all pay steps within the range. The starting salary for all new hires is typically at the entry-level figure, as determined by the step placement of the Collective Bargaining Agreement. Progression through the range occurs over time based on established criteria such as length of service and performance. This range is provided to give applicants an understanding of the potential earnings over the course of a career in this role.
MCC offers a Flexible Work Policy for benefit-eligible employees. Types of flexible work arrangements include flextime/staggered shifts, remote work/telecommuting, and compressed work schedules. The availability of flexible work arrangements varies by division, department, and position, based on business and operational needs. Limitations to flexible work arrangements are outlined in the official policy.
Prohibition of Remote Work Outside New York State: Remote work locations outside New York State are not authorized by the College due to out-of-state tax and regulatory implications. In limited circumstances, prompted by business or operational needs, the College may approve requests to work remotely outside of New York State, on a short-term, temporary basis.
